Job Overview

We are seeking a dynamic and highly organized Administrative Associate to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and exceptional support for staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. Responsibilities

Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
Handle incoming calls, and provide excellent customer service with proper phone etiquette
Maintain organized filing systems, perform data entry tasks, and ensure confidentiality of sensitive information
Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
Assist with calendar management, scheduling appointments, meetings, and coordinating personal assistant tasks as needed
Prepare correspondence, proofread documents for accuracy, and handle clerical duties
Support office management by overseeing supply inventory, organizing files, and ensuring a tidy workspace

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in general
Experience with data entry, filing systems, and handling confidential information securely
Excellent communication skills—both verbal and written—and the ability to interact professionally with clients and team members
Bilingual abilities are a plus but not required; fluency in additional languages is advantageous
Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous clerical or administrative experience, including customer support or personal assistant roles, preferred
Familiarity with office management tools such as multi-line phone systems and calendar management software
Bilingual proficiency is highly valued and considered a strong asset.
