Position Summary

Anderson & Whitney, P.C. is seeking a friendly, highly organized, and professional Front Desk & Client Services Coordinator to serve as the first point of contact for clients and visitors.

This position is responsible for managing front office operations, providing exceptional customer services, supporting office administration and ensuring a positive client experience. The ideal candidate enjoys interacting with people, stays calm under pressure, can effectively manage difficult situations, and takes pride in creating an organized and welcoming office environment.

This is an excellent opportunity for someone looking to build a long-term administrative career within a professional services firm.

Work Schedule

This is a full-time position working in our Greeley office. In-office attendance is expected during tax busy season and other peak workload periods. Additional hours may be required during tax season and filing deadlines.

Key ResponsibilitiesClient Service & Front Desk

· Greet clients and visitors in a professional and welcoming manner

· Answer phones and direct incoming calls

· Manage client inquiries and ensure timely follow-up

· Assist clients with document drop-offs and pick-ups

· Schedule appointments and coordinate conference room/training room usage

· Maintain a positive client experience at all times

· Professionally handle challenging client situations

Office Administration

· Process incoming and outgoing mail

· Coordinate FedEx, UPS, courier services, client mailings

· Order office supplies and maintain inventory

· Water office plants and support office appearance

· Assist with filing, scanning, and document organization

· Support records retention and file management projects

· Assist with data entry and administration projects

Team Support

· Assist accountants and professional staff with administrative needs

· Help coordinate internal meetings and events

· Support firm-wide projections and special initiatives

· Support other Administrative staff during and around busy seasons

· Perform other duties assigned

Preferred Qualifications

· Strong customer service skills

· Professional verbal and written communication skills

· Excellent organizational skills and attention to detail

· Working knowledge of Microsoft Office Suite

· Ability to maintain confidentiality and professionalism

· Previous reception experience, administrative, customer service, or office support experience a plus
