About The Role
Ground Solutions is looking for a dependable, detail-oriented Slinger Dispatch Coordinator to support the daily scheduling and coordination of Slinger Division jobs, equipment, and operators. You will help keep customers and field teams informed, ensure job details are complete and accurate, and reduce the administrative workload of the Slinger Dispatcher.
A major part of this role is monitoring scheduling requests, gathering missing information, maintaining Google Calendar and NetSuite records, and adjusting quickly when jobsite conditions or priorities change. This is a strong fit for someone who communicates clearly, stays calm under pressure, and enjoys bringing order to a fast-moving operation.
What You’ll Do
· Monitor and respond to scheduling emails and phone calls from customers, sales representatives, and field personnel.
· Gather the information required to schedule jobs and follow up promptly when details are missing or unclear.
· Create and update Google Calendar job entries, including customer, project location, scope, material and quantity, equipment needs, pricing, contact details, and special instructions.
· Assist with scheduling and rescheduling Slinger Division jobs, equipment, and operator assignments.
· Coordinate job details and schedule changes with customers, drivers, operators, field crews, sales, management, and invoicing.
· Confirm schedules, jobsite readiness, material availability, arrival information, and other project requirements with customers.
· Create and maintain Sales Orders in NetSuite and connect them to the appropriate Calendar project entries.
· Review NetSuite and Calendar records for accuracy and resolve missing or conflicting information.
· Monitor current and upcoming work for conflicts, incomplete details, or other potential issues and raise them early.
· Organize dispatch paperwork, job tickets, purchase order information, and supporting project documentation.
· Help ensure completed job information is ready for accurate invoicing and recordkeeping.
· Provide backup dispatch coverage and assist with other administrative or operational needs as assigned.
Requirements
· Experience in dispatch, scheduling, construction coordination, customer service, or a similar role is preferred. (2 years experience)
· Strong verbal and written communication skills.
· Excellent organization, follow-through, and attention to detail.
· Ability to manage multiple emails, calls, jobs, and changing priorities at the same time.
· Ability to identify missing information, ask the right questions, and follow through until an issue is resolved.
· A calm, professional approach when schedules change or problems arise.
· Comfort communicating with customers, contractors, drivers, operators, sales representatives, and management.
· Proficiency with email, spreadsheets, data entry, and general office technology.
· Ability to learn company processes, equipment capabilities, service areas, pricing structures, and job requirements.
Helpful Experience
· Construction operations, trucking, material delivery, or heavy equipment.
· NetSuite, Google Calendar, or comparable scheduling and business-management systems.
· A fast-paced operating environment where schedules and priorities change frequently.
*Bilingual (English/Spanish) a plus.
Schedule and Reporting
Full time M-F, hourly, non-exempt, in-office position. Working hours will be established based on the operating needs of the Slinger Division, and some flexibility may be needed during busy periods or when schedules change. The Slinger Dispatch Coordinator reports to the Slinger Dispatcher and Slinger Division management.
