Job Summary

Greeley Kids Dental is seeking a friendly, organized, and detail-oriented Administrative Assistant to be an essential part of our front office team in Greeley, CO. This role is crucial in creating a positive first impression for our young patients and their families, managing administrative tasks efficiently, and supporting the smooth daily operations of our busy practice. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and a commitment to providing outstanding customer service.

Responsibilities

Patient Welcome & Management:

Warmly greet patients and their families upon arrival, ensuring a friendly and comforting atmosphere.
Manage patient check-in and check-out processes efficiently, verifying patient information and insurance details.
Answer incoming phone calls with professionalism and excellent phone etiquette, addressing inquiries or directing them to the appropriate team member.

Scheduling & Coordination:

Schedule and confirm patient appointments, optimizing the daily schedule for efficient patient flow and productivity.
Manage appointment changes, cancellations, and rescheduling requests promptly and courteously.
Coordinate with clinical staff to ensure seamless transitions for patients.

Administrative & Clerical Support:

Maintain accurate and confidential patient records in the electronic health record (EHR) system.
Process new patient paperwork, ensuring all forms are completed accurately.
Handle incoming and outgoing mail, faxes, and electronic communications.
Collect co-payments and other patient payments, processing them accurately and securely.
Assist with general office organization, stocking forms, and maintaining a tidy reception area.

Patient & Family Communication:

Provide clear and concise information to parents and guardians regarding appointments, office policies, and general inquiries.
Address patient/family concerns with empathy and efficiency, escalating issues to management as needed.
Ensure all patient interactions comply with HIPAA regulations and patient privacy standards.

Qualifications

High School Diploma or equivalent required; Associate's degree or higher preferred.
Minimum of 1 years of experience in an administrative support or receptionist role, preferably in a dental office setting.
Excellent verbal and written communication skills, with a friendly and professional phone demeanor.
Strong organizational skills and meticulous attention to detail.
Proficiency in using computer systems and standard office software, including email and word processing. Experience with dental practice management software Eaglesoft is a significant plus.
Ability to multitask and prioritize effectively in a fast-paced environment.
A compassionate, patient, and positive attitude, especially when interacting with children and their families.
Ability to maintain strict confidentiality (HIPAA).

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 36.0 – 40.0 per week
