POSITION SUMMARY:
The Service Coordinator II is the senior coordinator in Benchmark’s service division, running the day-to-day coordination of on-call, T&M, and small construction service work with a high degree of autonomy. This role owns the most complex and priority jobs, develops service quotes, drives process and documentation standards, and mentors the Service Coordinator I — freeing the Service Manager to focus on estimating, field leadership, and growing the division. The ideal candidate brings deep service-coordination experience, sound independent judgment, and a track record of dependable, high-quality customer service.
KEY REPORTING RELATIONSHIPS:
Reports to: Service Manager
Direct Reports: None (provides work direction to and mentors the Service Coordinator I).
DUTIES AND RESPONSIBILITIES:
In addition to performing the full scope of Service Coordinator I duties — with greater autonomy and ownership of the highest-volume, most complex, and priority jobs — the Service Coordinator II:
- Serves as the lead coordinator and primary point of contact for complex, escalated, and key-account service work.
- Develops and refines service quotes and estimates in collaboration with the Service Manager, estimating, and project management.
- Owns coordination of the on-call/after-hours rotation and emergency-response workflow for the division.
- Monitors job performance — cycle time, labor efficiency, billing turnaround, and customer satisfaction — and flags issues and improvement opportunities to the Service Manager.
- Partners with leadership to improve service-delivery processes, documentation standards, and best practices across the team.
- Reviews the work orders, billing packages, and documentation prepared by the Service Coordinator I for accuracy and completeness.
- Trains and mentors the Service Coordinator I on systems, scheduling, billing, and customer-communication best practices.
- Represents the service department in cross-functional and planning meetings and contributes to department planning.
KNOWLEDGE, SKILLS AND ABILITIES:
- Strong organizational and multitasking skills; able to juggle competing priorities and frequent interruptions without losing track of details.
- Calm, solution-oriented approach to emergency and after-hours service situations.
- Clear, professional verbal and written communication with customers, field staff, and the office team, in English.
- Proficiency in Microsoft Office (Outlook, Excel, Word); experience with construction/service management and job-costing software — Viewpoint (Vista/Spectrum) strongly preferred.
- Basic understanding of electrical and general construction processes, materials, and terminology.
- Working knowledge of T&M billing, work orders, material requisitions, and basic job-cost concepts.
- Ability to read and interpret basic construction documents is a plus.
- Detail-oriented and accurate with data entry, documentation, and recordkeeping.
- Able to maintain confidentiality with sensitive company and customer information.
- Team-oriented, dependable, and proactive, with a commitment to quality and customer service.
- Proven ability to work independently, exercise sound judgment, and make coordination decisions under pressure.
- Demonstrated leadership, training, or mentoring ability.
- Confident developing service quotes and reviewing others’ work for accuracy.
POSITION QUALIFICATIONS:
Minimum Education: High school diploma or equivalent required; Associate’s degree in Business, Construction Management, or a related field a plus.
Minimum Experience: 5+ years in service coordination, dispatch, or a related construction/technical services role, including demonstrated experience with complex scheduling, T&M billing, and customer relationship management.
Required License: Valid driver’s license.
PHYSICAL REQUIREMENTS:
- Regularly required to sit and/or stand for long periods while completing duties and responsibilities.
- Must have full range of body movements including use of hands/fingers to handle and feel objects such as computer and other office equipment; must be able to bend, reach, and crouch when needed.
- Specific vision abilities required include close vision, depth perception, and the ability to adjust focus, sufficient to shift focus between computer screens and close forms.
- Ability to lift up to twenty-five (25) lbs.
WORKING CONDITIONS:
- Primarily an office environment with frequent interaction with field staff and customers.
- Fast-paced, with frequent phone and email activity and periodic interruptions to handle urgent or emergency service requests.
- Participation in an on-call / after-hours rotation may be required to support the service division’s emergency response.
- Occasional visits to job sites or vendors; may be exposed to varying weather conditions during site visits.
