Full Job Description

SNI Companies’ client located in Greeley, CO is immediately seeking to hire a Staff Associate for an exciting, 6-month contract opportunity. This temporary, part-time position is expected to be 30 hours per week onsite, paying $21.24 hourly during the contract duration of the assignment. The estimated duration for this assignment is July 6th through January 7th, 2027.

Staff Associate (All-In Programs & Services)

The Staff Associate must demonstrate sufficient experience in key areas required for the role including: data tracking, budget monitoring, expense reports, purchasing, meeting support, event logistics, and support for multiple programs/initiatives at one time. Additionally, prior experience working with diverse groups is also preferred.

Minimum Qualifications: Associate’s Degree plus 3 years of related experience is required.

Position Duties & Responsibilities:

Administrative and Scheduling Support
- Manage and coordinate the Director’s calendar, including scheduling appointments, meetings, check-ins, and committee work.
- Reserve rooms and meeting spaces for programs, committees, trainings, workshops, and student events.
- Prepare meeting materials, agendas, handouts, sign-in sheets, and other documents as needed.
- Attend committee, project, and program meetings to take minutes, track decisions, and document action items.
- Maintain organized electronic files, shared folders, program documents, templates, timelines, and project trackers.
- Assist with internal and external communications, including emails, reminders, meeting follow-ups, and event confirmations.
- Support general office operations and other administrative needs as assigned.
Program and Initiative Support
- Provide support for All-In Programs and Services initiatives, including but not limited to TRIO SSS, Access & Opportunity Programs, First Year Experience, FirstGen Forward, HSI initiatives, and Seal of Excelencia planning.
- Assist with planning, coordination, and implementation of student events, workshops, trainings, celebrations, and outreach activities.
- Support TRIO and Access & Opportunity staff with event preparation, logistics, student communication, materials, purchasing, and day-of event support.
- Assist with tracking program timelines, deliverables, committee goals, project milestones, and follow-up items.
- Help coordinate cross-departmental initiatives involving Student Affairs, Academic Affairs, Institutional Effectiveness, Admissions, Strategic Initiatives, and other campus partners.
- Support onboarding, training, and meeting logistics for committees, task forces, and working groups.
Marketing, Outreach, and Communication
- Assist with marketing and communication efforts for programs and initiatives, including flyers, announcements, email language, newsletters, social media content, website updates, and promotional materials.
- Help develop and organize communication plans for student-facing and employee-facing initiatives.
- Coordinate with Marketing and Communications, when appropriate, to ensure materials align with institutional branding and messaging.
- Assist with promoting events and programs across campus, including tabling, outreach, classroom visit coordination, and distribution of materials.
- Support storytelling efforts, student spotlights, program highlights, and other visibility efforts connected to FirstGen Forward, FYE, HSI, TRIO, and Access & Opportunity.
Data Collection, Reporting, and Research
- Collect, organize, and maintain data needed for program tracking, reporting, and continuous improvement.
- Assist with compiling information for reports, updates, presentations, and summaries for the Vice President of Student Affairs and other college leaders.
- Track event attendance, student participation, committee progress, survey responses, feedback forms, and other relevant information.
- Conduct research on promising practices at other colleges and universities related to HSI efforts, FirstGen Forward, First Year Experience, TRIO, Access & Opportunity, student success, and servingness.
- Summarize research findings in clear, usable formats to support planning and decision-making.
- Assist with organizing evidence, documentation, and examples of impact for institutional initiatives and reporting needs.
Budget, Purchasing, Travel, and Workday Support
- Assist with monitoring program and initiative budgets, including tracking expenses, available balances, and planned purchases.
- Support budget documentation and expense tracking in Workday.
- Prepare and process purchasing requests, payment requests, requisitions, invoices, reimbursements, and other related documents as needed.
- Assist with travel arrangements, including registrations, hotel, airfare, mileage, itineraries, travel authorizations, and expense reports.
- Help ensure purchases, expenses, and travel arrangements follow college policies and procedures.
- Maintain budget-related records, receipts, reports, and supporting documentation.
Event and Meetings Logistics
- Assist with planning and coordinating student events, committee meetings, trainings, workshops, celebrations, and campus-wide initiatives.
- Coordinate logistics such as room reservations, catering, supplies, materials, technology needs, sign-in sheets, and evaluation forms.
- Provide day-of support for events, including setup, check-in, student engagement, troubleshooting, and cleanup.
- Support TRIO and Access & Opportunity events, including outreach events, student workshops, cultural/academic enrichment activities, and community-based programming.
- Assist with post-event follow-up, including attendance tracking, thank-you messages, survey collection, and summary reports.
Other Duties
- Provide support for special projects, emerging initiatives, and department priorities as assigned.
- Maintain confidentiality and professionalism when working with student, employee, budget, and program information.
- Communicate effectively with students, staff, faculty, administrators, and community partners.
- Contribute to a welcoming, organized, student-centered, and equity-minded environment.
- Perform other related duties as assigned.

Minimum Required Qualifications:

Associates degree, plus three (3) years of relevant professional experience is required

Preferred Qualifications:

Strong organizational skills and attention to detail.
Ability to manage multiple projects, deadlines, and priorities.

Pay Rate
The pay rate for this position is $21.24 per hour during the contractual period of the assignment.
