Full Job Description

Program Admissions & Outreach Coordinator

Adult & Teen Challenge Northeastern Wisconsin

Purpose: Collaborate with Leadership and Program teams to manage the admissions process, strengthen community partnerships and referral networks, and professionally represent ATCNEW to community stakeholders and partner organizations.

Employment Classification: Regular, Full-Time, Salary, Exempt

Pay Range: $41,600 - $47,840 ($20.00 - $23.00 per hour)

Reports To: Executive Director

Essential Duties and Responsibilities: Community and Referral Relationship Management

Establishes and maintains professional working relationships with regional referral sources, including chemical dependency assessors, public defenders, social service representatives, child protection service agents, judges, dispositional advisors, drug courts, probation officers, and other providers
Research and connect with areas and organizations ATCNEW is not currently working with
Maintains a presence in county courts as assigned, including Drug & Veterans courts
Partners with county jail programmers to schedule ATCNEW program presentations to identify individuals in custody who could benefit from ATCNEW services
Serves on regional and county boards, coalitions, and task forces, and attends local provider meetings to build relationships and present ATCNEW as a thought leader in the treatment and recovery field
Attends professional conferences, symposiums, and community events as needed; exhibits at relevant conferences and events
Develops and maintains a process for tracking professional contacts, ensuring follow-up visits occur at established timeframes
Maintains an organized list of all contacts established within the region and enters information into the CRM database promptly
Maintains a list of social service organizations, treatment centers, and other agencies to be used as referral information for individuals and families who are not a proper fit for ATCNEW

Public Relations and Outreach

Performs public speaking engagements promoting Adult & Teen Challenge when requested by the Executive Director.
Represents ATCNEW at community events, faith community gatherings, civic organization meetings, and other public forums to build awareness of programs and services
Collaborate with the Executive Assistant to develop and maintain materials for public presentations, including brochures, digital content, and other collateral.
Works with the Executive Assistant to draft and contribute to outreach communications, including newsletters, email campaigns, and social media content that promote ATCNEW programs to referral sources and the broader community
Tracks and reports on outreach engagement metrics (i.e., referral source contacts, event attendance, application inquiries) and provides regular updates to the supervisor
Responds to internal and external requests for information about ATCNEW programs and services
Manages and maintains promotional materials and supply inventory for outreach and conference use
Handles contacts and invitations for special events and graduation ceremonies
Answers questions from potential program clients regarding ATCNEW programs throughout the state

Admissions and Application Processing

Provides program information to the public in a courteous and professional manner
Send out client applications as soon as possible when requested
Enters required information in the application database each time an application is sent out, received, or additional information is obtained
Follows up on all applications sent within three business days
Processes applications as quickly and efficiently as possible
Reviews all client applications and ensures that enough information is obtained to determine if the applicant is a fit for the program
Submits completed applications to the Executive Director for admission approval
Coordinates with the Program Director to schedules for intakes on all approved applications
Files rejected applications and enters appropriate information in the application database
Monitors the admission process to ensure compliance with established procedures
Administer Client urine analysis for drug testing.

Pre-Admission and Intake

Works closely with assessors, legal entities, and financial entities to admit incarcerated clients from jail in a timely and efficient manner
Assists with the review process for clients whose legal, mental health, or medical issues need to be resolved before intake
Processes in-custody applications promptly
Responds to incarcerated clients to approve and admit, or deny and refer, as quickly as possible for quality applicant care
Continues to streamline the application and inquiry process and restructure the workflow for jail applicants
Ensures applicant files are uploaded into Sober Peer once ready to schedule for intake
Assists with client intake, including ensuring paperwork is signed and completed in Sober Peer
Reviews admission forms for proper completion; enters required information into the client database for each client admitted
Properly prepares the client record folder, including the application, admission forms, and other necessary documents
Coordinate with the Program Coordinator to ensure all clients properly apply for and receive the appropriate number of benefits from Social Service Departments

Minimum Qualifications

21 years of age or older
Associate degree or equivalent experience; Business, Marketing, Communications, or a related field preferred
Minimum of two years’ experience in outreach, admissions, case coordination, business development, or a related field; experience in the treatment and recovery industry strongly preferred
Excellent written and verbal communication skills; public speaking experience preferred
Exceptional ability to successfully manage multiple concurrent assignments with competing deadlines and frequent interruptions
Ability to remain on task and follow through on projects to completion
Database, spreadsheet, and word processing computer skills; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with CRM systems preferred
Strong ability to relate to people with life-controlling problems
Exhibit strong commitment to the organization and dedication to the spiritual restoration of hurting adults
Documented minimum of two years’ freedom from chemical use problems (including tobacco, drugs, and alcohol)
Models a lifestyle in compliance with ATCNEW’s Code of Conduct & Statement of Faith
Maintains professional standards of conduct and appearance with co-workers and the public
Possession of a valid driver’s license and a clean driving record acceptable to ATCNEW’s vehicle insurance carrier
Ability to successfully complete the background check process

Preferred Qualifications

Minimum of five years’ experience in veterans’ chemical dependency, mental health, or outreach fields
Lived experience in treatment and recovery (personal or through a family member or loved one)
Spiritual passion and compassion for the lost and hurting
