An Administrative Assistant I will provide day-to-day administrative support under direct supervision. The Administrative Assistant I position must have strong attention to detail and maintain confidentiality at all times. Critical for success are the abilities to multitask, prioritize and, project a professional image.

What it takes

Maintain and promote a strong health, safety, environment, and quality (HSEQ) culture for all employees, vendors, subcontractors, and customers to comply with HSEQ policies, procedures, regulations, and continual improvement objectives. Identify and communicate workplace hazards and risks with a commitment to correct or seek assistance in correcting unsafe or nonconforming actions or conditions.
Provide administrative support to department: schedule meetings, process mail, assist with correspondence, make copies, maintain standard department materials, and manage distribution.
Write, proofread and distribute/mail correspondence, reports, and letters as requested.
Check and prepare invoices for approval; route to Accounts Payable for payment and complete necessary follow up work.
Facilitate invoice billing: internal invoices and tracking/management of payment status.
Track and record payroll records. Perform transactional data entry into systems with a high degree of accuracy. Scan, organize, and file payroll documents.
Work with corporate and divisional support on a variety of clerical related tasks.
Assist management with development and assembly of presentation materials.
Other duties as assigned.
High school diploma or GED, 0 to 3 years of related administrative experience, or an equivalent combination of education and experience.
Microsoft Suite proficiency
