Flynn Education is seeking a highly organized, proactive Administrative & Operations Assistant to provide executive and operational support to our team. This contractor will play a key role in keeping day-to-day operations running smoothly by managing administrative processes, coordinating logistics, creating and maintaining organizational systems, and supporting customer communications.

The ideal candidate pays close attention to detail and can manage multiple priorities autonomously while maintaining clear communication and accountability. They also communicate kindly and professionally to build positive relationships with colleagues and clients.

Responsibilities

Responsibilities may include:

Manage executive calendars and schedule meetings
Book travel and coordinate travel logistics
Assist with contract preparation and client communication
Complete compliance paperwork and administrative forms
Organize digital files, documents, and company records
Manage team email account
Organize reimbursements and expense documentation
Coordinate onboarding for online course participants
Prepare meeting agendas, capture notes, and track action items
Respond to customer and participant inquiries in a timely, professional manner
Assist with project coordination and follow up on deadlines
Support our team during virtual and in-person events as needed
Maintain accurate administrative records and documentation
Identify opportunities to improve organizational systems and processes
Perform other administrative and operational tasks that support the Flynn Education team

Ideal Qualifications

Exceptional organizational skills and attention to detail
Strong written and verbal communication skills
Ability to prioritize competing tasks and meet deadlines
Comfortable working independently and taking initiative
Proficiency with Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
Experience with platforms such as Zoom, Adobe Acrobat, Slack, LeadPages, MailChimp, and Monday.com, or the ability to learn new technologies and software platforms.
Experience supporting executives or small businesses is preferred
Ability to maintain confidentiality and exercise sound judgment

Job Type: Part-time

Pay: $28.00 - $30.00 per hour
