Full Job Description

Taft Family Ventures is seeking an experienced, highly organized professional to join our team as a Senior Bookkeeper & Executive Assistant. This position is ideal for someone who enjoys managing financial records while also providing high-level administrative support to company leadership.

This is not an entry-level position. We are looking for someone with a proven history of job stability, professionalism, discretion, and the ability to manage confidential financial and administrative matters.

The primary focus of this role is bookkeeping and financial administration, with executive support responsibilities including calendar management, travel coordination, scheduling, and confidential administrative tasks. Experience with trust administration is a plus but is not required.

Responsibilities

Maintain accurate bookkeeping records, including accounts payable, accounts receivable, bank reconciliations, journal entries, and general ledger maintenance.
Assist with monthly financial reporting and maintain organized financial records.
Process invoices, reconcile accounts, and ensure accurate recordkeeping.
Provide executive administrative support, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing correspondence.
Prepare reports, spreadsheets, presentations, and other business documents.
Organize and maintain electronic and paper filing systems.
Coordinate with banks, accountants, attorneys, vendors, and other business partners as needed.
Handle confidential financial and business information with the highest level of professionalism.
Assist with trust administration activities as needed (experience preferred but not required).
Perform other administrative and financial duties as assigned.

Qualifications

Associate degree or High School Diploma/GED with a minimum of five (5) years of bookkeeping, accounting, executive administrative support, or related experience.
Strong bookkeeping and financial recordkeeping experience.
Excellent organizational, time management, and multitasking skills.
High level of professionalism, discretion, and attention to detail.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, especially Excel, and accounting software.
Ability to work independently, prioritize multiple responsibilities, and maintain accuracy in a fast-paced environment.
Experience supporting executives is preferred.
Experience with trust administration, estate administration, banking, or legal services is a plus.
Accounting or bookkeeping certifications are a plus.
