Full Job Description

Client & Event Planning

Serve as the primary client contact after booking through event day
Coordinate and lead client walk-throughs, tastings, and planning meetings
Manage event details including timelines, layouts, vendor coordination, and final confirmations
Design and maintain detailed event floor plans using Social Tables
Track event milestones and follow up on payments due in accordance with venue policies

Event Operations & On-Site Leadership

Lead on-site execution for events, acting as the senior point of contact during event days
Oversee setup, breakdown, staffing, and run-of-show to ensure timelines and standards are met
Proactively troubleshoot issues in real time to ensure smooth execution and a positive guest experience
Create weekly recap report to denote what was duly executed at event and determine areas of improvements to guests and clients experience

Culinary & Beverage Coordination

Work closely with culinary and beverage teams to align menus, service plans, and event logistics
Lead and facilitate weekly BEO (Banquet Event Order) meetings, ensuring all departments are aligned on upcoming events
Ensure BEOs are accurate, complete, and clearly communicated to all internal teams

Scheduling, Systems & Administration, and Vendor Management

Schedule, onboard, and manage event staff including servers, bartenders, sushi vendors, and any outside food vendors hired through The Village
Coordinate and oversee third-party service providers including cleaning and security companies
Act as the venue liaison for client-selected vendors to ensure compliance with venue guidelines and timelines
Ensure all event information is organized, current, and accessible across teams
Oversee setup of spaces after events are completed so they are set for next events and site tour ready

Qualifications

5+ years of experience in event planning, venue operations, or hospitality
Proven experience managing events on-site in a venue or hospitality environment
Strong client communication and relationship management skills
Experience working closely with culinary and beverage teams
Ability to lead staff and vendors in live-event, high-pressure settings
Highly organized with strong attention to detail and follow-through
Availability to work evenings, weekends, and event-based schedules

Preferred Experience

Experience working in a dedicated event venue
Proficiency with TripleSeat and Social Tables
Background in weddings, mitzvahs, corporate events, or high-touch social events

Pay: $75,000.00 - $85,000.00 per year
