Our Front Desk Operations Coordinator is the hub of our office. You will help control patient flow, manage a constantly changing schedule, answer incoming calls, communicate with patients and doctors, collect payments, solve problems, and help keep a busy healthcare office running smoothly.
The right person doesn't need to be reminded about every task. You notice what needs attention, determine what is most important, and take action.
If you're sharp, dependable, organized, comfortable staying busy, and enjoy being the steady person others can rely on, you may fit very well here.
If you are easily overwhelmed by competing priorities, frequently need direction to determine what to do next, or struggle with consistency and organization, this position will probably not be a good fit.
What You'll Do
You will help manage both new-patient intake and established-patient flow while keeping the front office organized and moving efficiently.
Your responsibilities will include:
- Coordinate a busy and constantly changing patient schedule with accuracy.
- Greet patients promptly and create a warm, professional first impression.
- Guide patients through check-in, check-out, rescheduling, and payments.
- Answer incoming calls promptly and professionally and treat every call as an opportunity to serve a current or prospective patient.
- Handle new-patient calls and help match patients with appropriate appointment times.
- Keep the clinic running on time by actively managing patient flow.
- Communicate clearly and professionally with patients, doctors, and coworkers.
- Collect payments and maintain accurate financial documentation.
- Ensure required paperwork and patient information are complete.
- Maintain organization and calm at the front desk during busy periods.
- Help maintain strong kept-appointment rates through clear communication and scheduling.
- Prepare providers with accurate information needed for the day.
- Follow established office systems and procedures consistently.
- Identify small problems and address them before they become larger problems.
- Assist elsewhere in the office when patient flow requires it.

Healthcare or medical-office experience is helpful, but the right personality, work ethic, judgment, and willingness to learn are equally important.
Training and Cross-Training
We believe strongly in training our team well.
The first several weeks will involve learning our systems, procedures, scheduling, patient flow, and expectations.
Although this position's primary focus is front desk operations, our team members are cross-trained so they understand how the entire office functions and can assist one another when needed.
You should be comfortable learning new responsibilities and working directly with patients.
Schedule
Our regular patient schedule is Monday through Thursday.
During approximately the first 12 weeks, Fridays will also be required for training and onboarding.
After the initial training period, our regular schedule provides a three-day weekend most weeks.
Because we operate on a four-day patient schedule, consistent attendance and reliability are especially important.
Compensation & Benefits
- Starting pay of approximately $18.00–$20.00 per hour, based on experience and qualifications.
