Full Job Description

We are seeking a Patient Experience Coordinator to deliver an exceptional patient experience by coordinating appointments, providing outstanding customer service, and supporting the daily administrative and operational functions of our clinical research sites. The ideal candidate will be organized, compassionate, and committed to ensuring patients receive excellent service while supporting the efficient operation of the clinic.

Responsibilities

Schedule patient appointments and coordinate daily clinic activities.
Answer and direct incoming phone calls while providing courteous, professional, and compassionate customer service.
Welcome and assist patients, visitors, and referring providers, ensuring a positive experience.
Verify insurance eligibility, obtain prior authorizations, and support billing processes.
Confirm and explain patient financial responsibilities, when applicable.
Maintain accurate patient demographics, records, and documentation in RealTime.
Coordinate office supplies, clinical supplies, patient records, and other administrative operations.
Ensure compliance with HIPAA regulations and maintain patient confidentiality at all times.
Support physicians and multidisciplinary teams with administrative and operational needs.
Perform data entry and maintain organized filing and record management systems.
Coordinate communication with referring providers and assist in delivering patient consultation reports.
Demonstrate effective time management, flexibility, and teamwork while supporting daily clinic operations.
Assist with additional duties and special projects as assigned.

Qualifications

2–5 years of administrative experience in a medical office or healthcare setting.
Experience with insurance verification and authorization procedures.
Exceptional customer service and patient care skills.
Bilingual (English and Spanish) with excellent verbal and written communication skills.
Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Strong attention to detail and commitment to accuracy.
Proficiency in Microsoft Office applications (Word, Excel, and Outlook).
Demonstrated flexibility, adaptability, and the ability to work collaboratively as part of a multidisciplinary team.
