POSITION SUMMARY
The Executive Assistant / Personal Assistant is responsible for protecting, extending, and amplifying the effectiveness of the executive leadership team by creating structure, clarity, and execution across all priorities. This role serves as a critical partner to the CEO, COO, and Head of Operations by managing time, communication, talent operations, personal affairs, and strategic follow-through. The Executive Assistant / Personal Assistant ensures leadership remains focused on high-impact initiatives while driving coordination and operational rhythm across the organization. This position also provides trusted personal support to executives by managing approved personal administrative responsibilities, household coordination, and lifestyle logistics with discretion and professionalism.

OBJECTIVES
- Manage executive calendars and priorities with strategic intent, ensuring alignment with company goals and personal commitments
- Coordinate meetings, appointments, reminders, and executive scheduling logistics
- Assist with inbox management, communication organization, and follow-up coordination
- Protect executive time through thoughtful prioritization and organization
- Coordinate business and personal travel arrangements, including itineraries, accommodations, transportation, dining reservations, and related logistics
- Support office organization, upkeep, and administrative operations
- Coordinate incoming and outgoing mail, packages, deliveries, and office-related logistics
- Assist with event coordination, administrative projects, and operational support tasks
- Coordinate cross-functional communication between leadership, operations, and support teams
- Manage vendor coordination, travel logistics, and external engagements for executives
- Track action items, deadlines, and follow-up tasks through completion
- Draft professional emails, communications, and responses as needed
- Maintain organized systems across CRM, task management, and internal tools while maintaining highly organized physical and digital filing systems
- Build, improve, and maintain highly organized administrative systems and processes
- Organize and maintain confidential business, operational, financial, legal, and private family documentation
- Assist executives with approved personal administrative support and household coordination
- Manage personal calendars, family schedules, medical appointments, reservations, and recurring personal obligations
- Coordinate household vendors, contractors, maintenance providers, and service appointments
- Conduct personal and business-related research, gather information, and present organized recommendations for decision-making
- Coordinate errands, purchasing, gift procurement, special requests, and other personal administrative tasks
- Assist with expense tracking, reimbursements, personal bill management, and recordkeeping as directed
- Support special projects involving both executive business matters and approved personal initiatives
- Handle sensitive information with discretion, maintaining the highest standards of confidentiality and professionalism
- Support leadership during urgent situations, ensuring accurate and efficient information flow and rapid coordination of resources

EDUCATION AND EXPERIENCE
- 3–5 years of experience in executive support, personal assistance, operations coordination, or similar roles required
- Experience supporting senior leadership, business owners, entrepreneurs, or C-suite executives preferred
- Prior experience managing personal assistant, household management, family office, or lifestyle coordination responsibilities preferred
- Strong proficiency in productivity tools such as Google Workspace and related systems required
- Familiarity with CRM systems such as Go High Level and messaging platforms such as WhatsApp preferred
- Experience in high-growth, fast-paced environments preferred

- Ability to perform occasional local errands and travel-related coordination as needed
- Must possess a valid driver's license and reliable transportation
This role will require in office twice a week and three days remote with availability via phone after hours within reasonable hours.
Pay: $21.00 - $29.00 per hour
Work Location: Hybrid remote in Atlanta, GA 30339
