Job Title: Medicaid Home Care Agency Office Manager

Location: Paterson, NJ
Employment Type: Full-Time

Position Summary

We are seeking an experienced, organized, and compassionate Home Care Office Manager to oversee the daily operations of our home care agency in Paterson, NJ. The ideal candidate will have extensive experience in the home care industry, strong leadership skills, marketing expertise, and knowledge of New Jersey home care regulations. This individual will ensure smooth office operations, maintain compliance, support caregivers, grow the agency through community outreach and marketing, and deliver exceptional customer service to clients and their families.

Key ResponsibilitiesOffice Management

Oversee the daily operations of the home care office.
Supervise and support administrative staff, schedulers, and care coordinators.
Develop and implement office procedures to improve efficiency.
Ensure all records and documentation are complete, accurate, and confidential.

Staff Management

Recruit, onboard, and train caregivers and office staff.
Schedule caregiver orientations and ongoing training.
Monitor employee performance and provide coaching and support.
Assist with employee relations, attendance, and retention initiatives.

Scheduling & Client Services

Coordinate caregiver schedules and client assignments.
Ensure appropriate caregiver-to-client matching.
Respond promptly to client and caregiver concerns.
Maintain excellent communication with clients, families, referral sources, and healthcare professionals.

Marketing & Business Development

Develop and implement marketing strategies to increase client referrals and agency growth.
Build and maintain relationships with hospitals, rehabilitation centers, physicians, social workers, assisted living communities, senior centers, and community organizations.
Conduct community outreach, networking events, and presentations to promote agency services.
Coordinate digital marketing efforts, including social media, website updates, and online reputation management.
Track referral sources and marketing performance and provide regular reports to management.
Identify new business opportunities and partnership development.

Compliance & Quality Assurance

Ensure compliance with New Jersey Department of Health regulations and agency policies.
Maintain employee credentials, licenses, certifications, and background checks.
Prepare documentation for audits, surveys, and inspections.
Assist with policy updates and quality improvement initiatives.

Administrative & Financial Duties

Manage payroll preparation, billing, and timesheet approvals.
Maintain client files and employee records.
Monitor office supplies, equipment, and vendor relationships.
Prepare operational reports for management.

Qualifications

Minimum 3–5 years of home care office management experience.
Minimum 2 years of healthcare marketing or business development experience.
Knowledge of New Jersey home care regulations and compliance requirements.
Experience with caregiver scheduling and client coordination.
Strong leadership and team management skills.
Proven ability to build referral relationships and grow census.
Excellent customer service, communication, and interpersonal skills.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with home care software such as HHAeXchange or similar platforms.
Strong organizational, problem-solving, and multitasking skills.
Ability to work effectively in a fast-paced environment.
High school diploma required; Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Marketing, or a related field is preferred.

Preferred Qualifications

Experience managing Medicaid and private-pay home care services.
Familiarity with EVV (Electronic Visit Verification) requirements.
Knowledge of payroll, billing, and insurance authorizations.
Experience with CRM systems and social media marketing.
Bilingual (English/Spanish) preferred.
