Sales & Office Operations Associate

Established and growing B2B industrial distributor in Lodi, Bergen County is seeking a reliable, detail-oriented, hands-on professional to join our team as a Supply Chain, Order Entry & Accounting Associate.

This is an ideal role for someone who likes being busy, takes pride in accuracy, and enjoys owning their work from start to finish. You are organized, dependable, comfortable working with numbers and systems, and believe in getting things right the first time, on time, every time. You are comfortable communicating with colleagues, customers and suppliers and enjoy the sense of ownership that comes with working for a small business.

At our company, details matter. One cent matters. One digit in a part number matters. Following through matters. You will be in the operational nerve center of a product-based small business: orders come in, POs go out, customers and vendors need follow-up, paperwork needs to match, phones need answering, Excel needs updating, and twelve things are happening at once.

This is a hybrid operations role supporting both our Sales/Supply Chain and Accounting teams, with a strong focus on data entry, order processing, purchase orders, invoicing, and administrative accounting support.

Strong preference for candidates with experience working in a product-based business such as distribution, wholesale, manufacturing, retail, ecommerce, construction supply, automotive, hardware, or similar environments.

This is an in-person position at our office in Lodi, NJ.

What You'll Do

Order Processing & Supply Chain Support

Enter and process customer orders accurately and efficiently
Prepare customer invoices
Create and process supplier purchase orders in our ERP system
Review orders, pricing, quantities, shipping information, and other details for accuracy
Communicate and follow up with customers and suppliers regarding orders and paperwork
Help ensure orders move through our system accurately and on schedule

Accounting Support

Assist with Accounts Receivable and Accounts Payable
Match vendor invoices to purchase orders and receiving documentation
Enter, organize, and maintain vendor invoices and accounting records
Assist with sales tax reporting and preparation
Maintain organized customer, vendor, and accounting documentation
Support general accounting and administrative activities as needed

Reporting & Office Support

Assist with weekly Excel reporting and company performance metrics
Answer incoming phone calls and provide basic customer service
Provide general administrative and filing support
Work with management to establish and adjust daily priorities
Pitch in across departments when needed — we're a small business, and teamwork matters

What We're Looking For

Strong attention to detail and commitment to accuracy
Excellent data entry and computer skills
Proficiency with Microsoft Office, especially Excel
Comfortable working with numbers, including pricing, markups, margins, percentages, and fractions
Strong organizational and time-management skills
Ability to prioritize multiple responsibilities and meet deadlines
Clear, professional written and verbal communication skills
Professional and confident phone manner
Strong follow-up and follow-through
Ability to work independently while also being part of a collaborative team
Reliable, flexible, and willing to adapt as priorities change
Positive, helpful attitude and strong work ethic

Experience That Is Helpful but Not Required

ERP, inventory management, or accounting software experience
Order entry or order processing experience
Accounts Payable or Accounts Receivable experience
Purchasing or procurement experience
Industrial distribution, manufacturing, construction, warehouse, or supply chain experience
