1.0 POSITION SUMMARY:
The Director of Finance is responsible for the strategic leadership, planning, and management of all financial operations for the Boys & Girls Club of the Eastern Panhandle. This position ensures the organization’s financial stability through sound fiscal management, accurate reporting, regulatory compliance, grant administration, budgeting, forecasting, internal controls, and audit oversight. The Director of Finance serves as a trusted advisor to the Chief Executive Officer (CEO) and Board of Directors. Providing financial analysis and recommendations that support the Club’s mission of serving youth throughout Berkeley Jefferson, and Morgan Counties.
The Director of Finance demonstrates the highest standards of integrity, confidentiality, and stewardship while ensuring compliance with Generally Accepted Accounting Principals (GAAP), federal and state regulations, and nonprofit accounting standards.
2.0 ESSENTIAL JOB FUNCTIONS:
Financial Leadership & Planning
· Develop and implement financial strategies that support the Club’s strategic plan and long-term sustainability.
· Provide financial leadership to the CEO and the Board of Directors.
· Provide annual operating and capital budgets in collaboration with department leaders.
· Monitor organizational financial performance and recommend corrective actions when necessary.
· Develop monthly, quarterly, and annual financial forecasts.
· Maintain adequate cash flow to meet organizational obligations.
· Analyze financial trends and advise leadership on opportunities and risks.
· Assist with some functions of resource development and event planning.
· Manage donor-based tracking system.
· Other duties as assigned by the CEO
Accounting & Financial Management
· Oversee all accounting operations including:
· General ledger
· Accounts Payable
· Accounts receivable
· Payroll oversight
· Bank reconciliations
· Fixed Assets
· Journal entries
· Ensure timely month-end and year-end closings
· Maintain accurate financial records in accordance with GAAP
· Develop and maintain effective internal accounting controls
· Safeguard organizational assets through sound financial practices
Budget Development and Oversight
· Lead the annual budgeting process in conjunction with the leadership team
· Monitor departmental budgets throughout the fiscal year
· Prepare monthly budget-to-actual reports
· Assist department directors in managing expenditure
· Recommend budget revisions as needed
Grant Compliance and Financial Reporting
· Manage all financial aspects of federal, state, local, and private grants in conjunction with the Director of Operations
· Ensure grant expenditures comply with funding requirements
· Prepare reimbursement requests and financial reports for grantors
· Track restricted and unrestricted funding
· Maintain documentation supporting grant expenditures.
· Assist with grant applications by preparing financial information and budgets
Audit and Compliance
· Coordinate the annual independent financial audit
· Prepare schedules and documentation requested by auditors
· Implement audit recommendations
· Ensure compliance with IRS regulations for nonprofit organizations
· Assist in preparation of the annual form 990
· Maintain compliance with federal, state, and local financial regulations
· Oversee financial policies and recommend updates as needed
Board Reporting
· Prepare clear and accurate financial reports for the Finance Committee and Board of Directors
· Present monthly financial statements and budget updates
· Develop dashboards highlighting key financial indicators
· Assist with financial planning discussions and capital initiatives
· Support Board committees with financial information as requested
Risk Management
· Develop policies that minimize financial risk
· Monitor insurance renewals and financial documentation
· Maintain fraud prevention measures
· Ensure segregation of financial duties
· Review of financial procedures for efficiency and compliance
Payroll & Benefits Administration
· Oversee payroll processing for accuracy and compliance
· Ensure timely payment of payroll taxes and required filings
· Coordinate retirement plan contributions and employee benefit payments
· Maintain payroll records in accordance with applicable laws and regulations
Banking and Cash Management
· Manage banking relationships
· Monitor investments and reserve funds
· Oversee cash flow and operating reserves
· Authorize electronic payments and banking transactions in accordance with approved internal controls
3.0 WORKING RELATIONSHIPS & REPORTING:
Collaborates closely with all corporate employees and various other community professionals at locations throughout the Eastern Panhandle. Reports directly to the CEO
4.0 REQUIREMENTS, COMPTENCIES & QAULIFICATIONS:
· Bachelor’s degree in accounting required
· Minimum of five years of progressively responsible accounting or financial experience
· Minimum of three years in nonprofit financial management preferred
· Experience managing multiple funding sources and grant compliance
· Experience with nonprofit audits
· Experience preparing financial reports for executive leadership and governing boards
· A minimum of two years prior work experience in a Boys & Girls Club or similar organization
· Must be able to pass a background check
5.0 PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
