Full Job Description

Summary:

The Practice Administrator is responsible for overseeing the day-to-day operations of a multi-site, high-volume OB/GYN practice. This role ensures the practice operates efficiently, delivers high-quality patient care, supports optimal staff performance, and maintains effective financial and operational management. The Practice Administrator collaborates with physicians, clinical and administrative staff, and corporate leadership to achieve operational goals, ensure regulatory compliance, and promote a positive patient and employee experience.

Essential Functions:

Direct and oversee the daily operations of a multi-site, high-volume OB/GYN practice.
Ensure efficient workflows, high-quality patient care, and optimal staff performance.
Implement, monitor, and enforce practice policies, procedures, and compliance standards.
Manage staffing, scheduling, training, performance evaluation, and disciplinary actions.
Oversee financial processes including cash reconciliation, billing holds, accounts receivable, and accounts payable.
Maintain regulatory compliance with applicable federal, state, and local laws, as well as company policies.
Serve as the primary liaison between providers, staff, corporate leadership, and external vendors.
Promote a positive work culture and patient experience through leadership and communication.

Primary Duties:

Implement and enforce policies and procedures; audit records to ensure compliance with company and regulatory standards.
Address patient satisfaction concerns and patient flow issues; develop and implement improvement plans.
Recruit, train, orient, and evaluate staff; foster morale, motivation, and accountability; address performance and disciplinary issues as needed.
Develop monthly staff schedules; review and approve time and attendance in ADP WorkforceNow.
Create monthly provider schedules and templates.
Oversee inventory management for office supplies, medical supplies, and equipment; coordinate maintenance and vendor services.
Ensure cash drawers are balanced; prepare and make daily bank deposits.
Identify and engage in community marketing opportunities; involve staff in outreach initiatives.
Prepare weekly and monthly operational dashboards; participate in weekly calls with Practice Administrators to review performance metrics.
Resolve and approve billing holds; ensure understanding and oversight of accounts receivable and payable.
Ensure compliance with OSHA, HHS, labor laws, and other regulatory requirements in collaboration with the HR department.
Step in to perform medical assistant or front desk duties when necessary to maintain operations.
Coordinate staff development opportunities and events.
Work directly with practice partners and report to the CEO.
Perform other duties as assigned to support operational and organizational needs.

Knowledge, Skills, and Abilities:

Strong knowledge of medical terminology, billing systems, coding, and clinical workflows.
Proficiency in EHR systems, ADP WorkforceNow, Microsoft Office, and other office technologies.
Excellent communication, interpersonal, and customer service skills with the ability to interact professionally and compassionately.
Effective leadership, team management, and conflict resolution skills.
Ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail.
Problem-solving skills with the ability to address patient concerns and operational challenges calmly and effectively.

Work Environment

May require occasional travel or overtime.
Work is performed in a professional healthcare setting.
This position operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.
Exposure to communicable diseases, blood-borne pathogens, and toxic substances in the work environment.

Pay: $150,000.00 - $190,000.00 per year
