Job Title: Surgery Scheduler & Prior Authorization Coordinator

Position Summary

We are seeking a highly organized, detail-oriented, and compassionate Surgery Scheduler & Prior Authorization Coordinator to join our medical office team. This position plays a vital role in ensuring patients receive timely insurance approvals and seamless coordination of surgical procedures. The ideal candidate has excellent communication skills, strong knowledge of medical insurance processes, and the ability to multitask in a fast-paced healthcare environment.

Key Responsibilities

- Obtain prior authorizations and pre-certifications for procedures, surgeries, medications, imaging, and other services as required by insurance carriers.

- Verify patient insurance eligibility and benefits.

- Communicate with insurance companies to submit clinical documentation and follow up on authorization requests.

- Schedule surgeries with hospitals, ambulatory surgery centers, and physicians.

- Coordinate surgery dates with patients, providers, and facility staff.

- Prepare and distribute surgical packets, pre-operative instructions, and required paperwork.

- Ensure all pre-operative testing, medical clearances, and required documentation are completed before surgery.

- Maintain accurate documentation of authorization approvals, denials, and appeals in the electronic medical record (EMR).

- Notify patients of surgery dates, arrival times, financial responsibilities, and pre-operative requirements.

- Work closely with physicians, clinical staff, and billing personnel to resolve authorization or scheduling issues.

- Respond to patient questions regarding surgery scheduling and insurance authorization status.

- Maintain confidentiality and comply with HIPAA regulations.

Qualifications

- High school diploma or equivalent required; medical administrative training or certification preferred.

- Minimum of 1–2 years of experience in a medical office, preferably with surgery scheduling and insurance prior authorizations.

- Knowledge of medical terminology, insurance plans, CPT and ICD-10 coding basics, and prior authorization procedures.

- Experience using electronic medical records (EMR) systems.

- Excellent organizational, communication, and customer service skills.

- Ability to manage multiple priorities while maintaining accuracy and attention to detail.

- Proficient in Microsoft Office and general computer applications.

Preferred Skills

- Experience coordinating surgeries for specialty practices.

- Strong problem-solving and critical thinking abilities.

- Ability to work independently and as part of a collaborative healthcare team.

## Physical Requirements

- Prolonged periods of sitting and computer use.

- Ability to communicate effectively by phone and in person.

- Occasional lifting of office supplies or patient records up to 20 pounds.
