Overview

We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. Responsibilities

Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
Handle data entry tasks with precision, maintaining accurate records in various software platforms such as Microsoft Office, Google Workspace, and bookkeeping tools
Support office management duties including filing, proofreading documents, calendar management, and organizing appointments or meetings
Provide excellent customer support by addressing inquiries promptly and professionally both in person and via phone or email
Assist with clerical tasks such as photocopying, faxing, mailing, and maintaining organized filing systems
Utilize technical proficiency to operate office equipment effectively and troubleshoot basic issues as needed

Requirements

Proven experience in office management or administrative roles, preferably as a front desk or medical/dental receptionist
Strong computer literacy with proficiency in productivity software such as Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and data entry applications
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Exceptional customer service skills combined with professional phone etiquette for handling multi-line phone systems
Bilingual abilities are highly desirable to serve diverse client needs effectively
Previous experience with QuickBooks or bookkeeping is a plus for managing financial records accurately
Demonstrated clerical experience including filing, proofreading, calendar management, and document handling
Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows
Ability to maintain confidentiality while managing sensitive information with integrity
