About the role

DetailedPDX is a small business support firm. We provide operations, systems, executive support, strategic infrastructure, graphic design, and branding to growing companies - and our founder works as a Fractional COO embedded inside several client organizations at once.

We're looking for an Executive Assistant who is genuinely operational. This is not a calendar-and-inbox role, though you'll do both well. It's a seat for someone who wants to understand how businesses run, who thinks a step ahead, and who can carry work forward independently when the person they support is in back-to-back client sessions.

This is an internal, behind-the-scenes role. You won't be client-facing, but much of your work directly supports our client engagements - preparing materials, building deliverables, managing project timelines, and keeping the operational details in order.

What you'll do

Manage calendar, inbox, and communications with real judgment about what matters and what can wait
Own our task and project management systems - keeping work visible, deadlines tracked, and nothing falling through
Prepare for client meetings behind the scenes: agendas, materials, research, notes, and the follow-up tracking that closes the loop
Support client deliverables - documents, spreadsheets, process documentation, and system builds
Use AI tools daily to draft, summarize, research, and speed up recurring work
Build and document internal processes so the business runs more smoothly each quarter
Take on project work across operations, systems implementation, and business administration as it comes up

What we're looking for on paper

3+ years in executive assistant, operations, or business support roles - small business or agency experience is a plus
Working fluency with a project management platform (ClickUp, Asana, Monday, or similar)
Strong Google Workspace skills; comfort with automation tools (Zapier) is a plus
Demonstrated hands-on use of AI tools in a professional setting
Able to work in person in Ridgefield, WA on a regular schedule

Logistics

30-35 hours per week
Primarily in person in Ridgefield, WA, with flexibility for virtual days
$36-$40 per hour, depending on experience

Pay: $36.00 - $40.00 per hour
