Note: Starting pay rates are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity. New employees typically start in the lower half of range, but experts in their field may be considered for starting pay rates in the top half of the range.

Summary

The primary purpose of this position is to provide skilled administrative support and customer service for the day-to-day operations of the Human Resources Department.

All activities must support the Minneapolis Public Housing Authority’s (“MPHA” or “Authority”) mission, vision, and values.

Essential Duties and Responsibilities

The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned, as needed.

Monitors and triages multiple communication channels for the Human Resources department, including in-person, postage & interoffice mail, phone, email, and Microsoft Teams, and more.
Coordinates the administrative steps related to MPHA training and events, including invitations, reminders, fliers, certificate distribution, and certificate retention.
As assigned, responds to data requests for information from law firms, other departments, and MPHA’s General Counsel, relative to research, data collection, and report preparations concerning lawsuits, information requests, etc.
Assists with the administrative coordination of MPHA employee clinics.
Assists with compliance projects, EEO-4 Report, Pay Equity Report, Annual Compliance Report, HR related surveys, etc.
Performs a variety of HRIS administrative duties by entering status change events into employee records, such as transfers, promotions, and other personnel actions.
Participates as needed in the recruitment and onboarding process, including employment verifications, background screenings, application review, personnel file creation, and other tasks as assigned.
Maintain and update the Employee Portal information to ensure content, resources, and employee-facing details remain accurate, current, and accessible.
Manage and maintain the Human Resources suite, ensuring the space is organized, professional, adequately supplied, and prepared for employees, visitors, and HR related meetings and activities.
Acts as backup to the Recruiter, providing coverage for vacations, leaves of absence, etc.
Assists with the coordination of temporary employees
Assists with the coordination of the Urban Scholar Program
Assists with New Employee Orientation
Prepares and prints new employee orientation documents and badges. Assigns required training.
Assists with preparation for collective bargaining negotiations.
Reviews monthly updates, new hires, and anniversaries for the Human Resources section of the Employee Newsletter.
Assists with employee badge creation, troubleshooting, etc.
Assists with meeting preparation (agenda updates, taking notes, printed materials)
Prepares monthly and quarterly reports, labels, and certificates for the Executive department as requested.
Manages personal files, including printing files and uploading documents for personnel files.
Assists with external market research and online surveys, and compliance reports for various purposes.
Provides administrative support to HR staff, as necessary, including printing, mailing, and filing documents.
Responsible for maintaining office supplies and equipment for HR and ordering paper for Headquarters.
Assists with the setup and tear-down of in-person training events, including arranging training materials, equipment, seating, signage, and other logistical needs.
Assists with Health & Wellness initiatives for employees by assisting with seminars and annual events and creating and distributing wellness communications.
Performs other related duties as assigned.

Education and/or Experience

High School Diploma or GED and a minimum of two (2) years of experience providing high-quality customer service while performing responsible and confidential clerical and administrative tasks. An equivalent combination of education and experience may be considered. Experience working on or directly supporting a human resources team is preferred.

Some positions may require possession of a valid driver’s license. Those positions may also require the use of a personal vehicle and evidence of individual automobile insurance coverage, or the ability to be insurable under the Authority’s automobile insurance plan at the standard rate. Must pass a criminal history background check.

Technical Skills

To perform this job successfully, the employee should be very organized, detail-oriented, forward-thinking, proactive, customer service-oriented, and able to communicate effectively across multiple mediums. This position also requires strong computer skills, including the full Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, OneNote, SharePoint, and Publisher), as well as Adobe Acrobat. Experience working with an HRIS, HCM, and/or LMS is valuable. Must have the ability to learn other computer software programs as required by assigned tasks.

To perform this job successfully, the employee is frequently required to remain in a stationary position. The employee must be able to exchange information in person, in writing, and via telephone. The employee must occasionally transport up to 25 pounds.
