Full Job Description

Job Summary:

The Accounts Receivable Clerk is responsible for processing customer invoicing, applying payments, maintaining accurate customer account records, and supporting the overall accounts receivable process. This role handles payments received by cash, credit card, check, ACH, and other approved methods, ensuring they are posted accurately and reconciled to the appropriate customer accounts.

This position works closely with customers, internal departments, and the Accounting Department to resolve billing questions, upload invoices to customer portals, monitor account activity, and assist with accounts entering the collections process. The Accounts Receivable Clerk will also provide additional support as needed.

Work Environment:

In-office, with hybrid/remote work approved on a case-by-case basis.
This role operates in a professional office environment and requires regular communication with customers, internal departments, and accounting staff.

Duties/Responsibilities:

Generate and send invoices to customers in a timely and accurate manner.
Review invoices for accuracy and resolve billing discrepancies as needed.
Post customer payments to the appropriate accounts, including payments received by cash, credit card, check, ACH, and other approved methods.
Reconcile customer payments and account activity to ensure records are accurate and up to date.
Monitor accounts receivable aging reports to identify past-due accounts and assist with appropriate follow-up.
Prepare and distribute monthly customer statements.
Maintain access to customer billing portals and upload invoices, supporting documents, and required billing information as needed.
Assist with customer billing questions, payment issues, and account disputes.
Maintain accurate and organized records of accounts receivable transactions.
Collaborate with other departments to resolve billing, payment, and documentation-related issues.
Generate accounts receivable reports and provide updates on account status as requested.
Assist with collections calls and follow-up on customer accounts as needed.
Other duties as assigned by the Accounting Manager.

Required Skills/Abilities:

Strong organizational skills and attention to detail.
Excellent verbal communication skills are required to work with customers and internal departments.
Ability to process a high volume of invoices, payments, statements, and account data accurately.
Ability to identify discrepancies and assist with timely resolution.
Prior use of QuickBooks Online and/or QuickBooks Desktop preferred.
Basic Microsoft Excel and general computer skills required.
Ability to manage deadlines and prioritize work effectively.
Strong customer service skills and professional phone/email etiquette.
Ability to maintain confidentiality when handling customer and financial information.
Must be willing to submit to pre-employment physical, drug screening, and background check.

Education and Experience:

High school diploma or equivalent required.
Prior experience with accounts receivable processes and procedures preferred.
Experience with invoicing, payment posting, customer statements, billing portals, or account reconciliation preferred.
Equivalent combinations of education and relevant experience may be considered.

Physical Requirements:

Prolonged periods of sitting at a desk

Must be able to lift up to 20 lbs

Pay: $25.00 - $30.00 per hour
