Pre-Litigation Paralegal

Location: Chicago, IL 60602
Job Type: Full-Time
Work Schedule: Monday – Friday
Hybrid Schedule: Eligible after successful completion of a six-week in-office onboarding and integration period.

Position Overview

The Pre-Litigation Paralegal is responsible for managing a high-volume personal injury caseload from intake through settlement. This role ensures cases progress efficiently while maintaining exceptional client communication and organization throughout the life of each case.

The ideal candidate is proactive, detail-oriented, and capable of managing deadlines, records requests, negotiations support, and case preparation with minimal supervision.

Key ResponsibilitiesClient Communication & Case Management

Serve as the primary point of contact for clients throughout the pre-litigation process.
Maintain regular communication with clients regarding treatment, case status, and next steps.
Document all client communications and case activity within Filevine.
Build strong client relationships while delivering exceptional customer service.

Medical Records & Treatment Coordination

Request, obtain, and track medical records, bills, imaging, police reports, and lien documentation.
Prepare and maintain medical summaries, treatment timelines, and billing ledgers.
Communicate with medical providers regarding records, balances, liens, and reductions.

Case File Management

Maintain accurate and organized electronic case files.
Ensure all case notes, documentation, deadlines, and supporting materials are current.
Monitor case progression and proactively identify outstanding items requiring follow-up.

Demand Preparation & Settlement Support

Draft settlement demand packages, including liability summaries, injury narratives, damages, and supporting documentation.
Prepare negotiation summaries for attorney review.
Assist attorneys during settlement negotiations.
Monitor statutes of limitation and other critical deadlines, escalating issues when necessary.

Administrative Responsibilities

Track insurance adjuster communications and ensure timely follow-up.
Upload and organize HIPAA authorizations, settlement statements, releases, and other legal documents.
Assist with lien resolution and coordinate settlement disbursement documentation.
Perform additional case management and administrative duties as assigned.

Required QualificationsEducation

Bachelor's degree required.

Experience

Minimum of two years of plaintiff-side personal injury experience.
Pre-litigation case management experience required.

Technical Skills

Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Experience using Filevine or comparable legal case management software.
Strong written and verbal communication skills.
Excellent organizational, time management, and multitasking abilities.
Ability to manage a high-volume caseload while maintaining accuracy and attention to detail.

Preferred Qualifications

Bilingual (English/Spanish or English/Polish) strongly preferred. Bilingual candidates will receive priority consideration.
Experience with Filevine, Case Status, or similar legal technology platforms.
Familiarity with settlement negotiations, insurance claims, medical liens, lien reductions, MedPay/PIP, auto accidents, and premises liability cases.

Additional Information

Full-time, Monday–Friday schedule.
Occasional overtime may be required based on caseloads and business needs.
Hybrid work eligibility begins after successfully completing a six-week in-office onboarding and integration period.
Employees must successfully complete a three-month probationary period.
This position is based in our downtown Chicago office.

Pay: $55,000.00 - $65,000.00 per year
