Full Job Description

Position Summary

Metal Fab Guys, LLC is seeking a detail oriented and dependable Accounts Payable Specialist to manage the day-to-day accounts payable process and ensure vendor invoices, purchase orders, payments, and financial records are processed accurately and on time.

The Accounts Payable Specialist will work closely with Accounting, Procurement & Purchasing, Operations, and company leadership to maintain accurate financial records, resolve vendor discrepancies, control costs, and ensure payments are properly authorized and supported.

This position requires strong organizational skills, attention to detail, Excel proficiency, and experience working within an ERP system. Odoo ERP experience is strongly preferred.

Essential Duties & Responsibilities

Accounts Payable

Receive, review, code, scan, and process vendor invoices and internal expense receipts for payment.
Verify invoices against purchase orders, receiving documentation, and packing slips, performing three-way matching when applicable.
Ensure invoices are properly approved before payment.
Enter and maintain accurate accounts payable information within the ERP system.
Prepare vendor payments according to established payment schedules and company approval procedures.
Process payments through ACH, check, credit card, wire transfer, or other approved methods.
Maintain accurate records of invoices, credits, payments, and outstanding balances.
Monitor accounts payable aging and identify invoices approaching or exceeding due dates.

Vendor Management

Maintain accurate vendor records, payment terms, and contact information.
Obtain required vendor documentation, including W-9s and payment information.
Reconcile vendor statements to company records.
Research and resolve invoice discrepancies, duplicate invoices, pricing differences, missing purchase orders, and payment issues.
Communicate professionally with vendors regarding invoice and payment status.
Maintain positive vendor relationships while protecting the financial interests of Metal Fab Guys.

Purchasing & Receiving Coordination

Work closely with the Procurement & Purchasing Manager and Shipping & Receiving to verify purchase orders, pricing, quantities, payment terms, and received materials.
Identify invoices received without proper authorization, ensuring purchases are documented and approved before releasing funds.
Report recurring purchasing, pricing, or receiving discrepancies to management.

ERP & Accounting Systems

Accurately maintain accounts payable transactions within Odoo ERP or the company's designated accounting system.
Ensure vendor bills are connected to the appropriate purchase orders, receipts, projects, departments, or expense categories.
Assist with maintaining clean and accurate vendor master data.
Identify duplicate transactions and other potential accounting errors.
Support improvements to accounts payable workflows within Odoo.

Reconciliation & Month-End Support

Reconcile accounts payable balances and vendor statements.
Assist Accounting with month-end and year-end closing procedures.
Research outstanding checks, unapplied credits, duplicate payments, and unresolved balances.
Ensure expenses are recorded in the appropriate accounting period.
Provide supporting documentation for financial reviews, audits, and tax preparation as requested.

Cost Control

Review invoices for pricing discrepancies and unexpected charges before payment.
Identify duplicate charges, incorrect freight charges, unauthorized purchases, and billing errors.
Monitor vendor payment terms and help the company take advantage of available early payment discounts when financially beneficial.
Assist management with identifying opportunities to reduce unnecessary expenses and improve purchasing controls.
Escalate unusual or significant cost increases to Accounting and Procurement.

Excel & Reporting

Utilize Microsoft Excel to organize, reconcile, and analyze accounts payable information.
Maintain reports for outstanding invoices, vendor balances, payment schedules, and other accounting needs.
Assist management with accounts payable and cash requirement reporting.
Experience with formulas, filters, PivotTables, VLOOKUP/XLOOKUP, and data reconciliation is preferred.

Qualifications

2+ years of accounts payable, bookkeeping, or accounting experience.
Manufacturing or distribution accounting experience strongly preferred.
Experience with ERP systems required; Odoo ERP experience strongly preferred.
Understanding of purchase orders, receiving documents, invoices, credits, and vendor statements.
Strong attention to detail and accuracy.
Basic understanding of general ledger accounting and expense coding.
Ability to handle confidential financial information professionally.
Strong written and verbal communication skills.
Ability to handle confidential financial information professionally.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Ability to research discrepancies and independently follow issues through resolution.

Key Performance Expectations

The Accounts Payable Specialist will be expected to maintain:

Accurate and timely invoice processing.
Minimal duplicate or incorrect payments.
Accurate vendor records and balances.
Timely vendor statement reconciliations.
Proper documentation and approval of company expenditures.
Strong coordination between Accounting, Procurement, Receiving, and Operations.
Timely resolution of invoice and purchasing discrepancies.
Consistent adherence to company payment and purchasing controls.

Physical Requirements

Ability to work at a computer for extended periods.
Ability to perform routine office functions and occasionally move or handle accounting records, files, or office supplies.
