Full Job Description

Position Summary

The Office/Human Resources Assistant supports the HR department with day-to-day administrative and employee-related functions. This position works closely with the HR Manager, management, supervisors, and employees to ensure HR processes are handled accurately, efficiently, confidentially, and in accordance with company policies and applicable employment requirements.

The ideal candidate is organized, dependable, detail-oriented, professional, and comfortable working in a fast-paced manufacturing environment.

Essential Duties and ResponsibilitiesHR Administration

Assist with daily HR administrative tasks and maintain accurate employee records.
Prepare, organize, and maintain personnel files and confidential HR documentation.
Assist with onboarding and new-hire paperwork.
Maintain employee information, attendance records, and other HR documentation.
Assist with employment verification and reference checks.
Prepare HR reports, spreadsheets, correspondence, and other documentation as requested.
Maintain confidentiality of employee and company information.

Recruiting and Onboarding

Assist with job postings, candidate communication, interview scheduling, and recruitment coordination.
Communicate with candidates regarding interview times, required documents, and onboarding requirements.
Assist with preparing new-hire packets and coordinating orientation.
Track candidate and new-hire information throughout the hiring process.
Assist HR with coordinating pre-employment requirements and ensuring documentation is completed.

Employee Relations

Assist the HR Manager with employee concerns, complaints, and workplace issues.
Document employee concerns and assist with maintaining investigation records.
Help coordinate meetings between employees, supervisors, and HR.
Maintain confidentiality when handling employee relations matters.
Assist with disciplinary documentation, written warnings, and other HR correspondence as directed by the HR Manager.

Attendance and Timekeeping

Assist with monitoring employee attendance and timekeeping records.
Track absences, late arrivals, and other attendance-related matters.
Assist with communicating attendance concerns to supervisors and management.
Help ensure attendance documentation is accurate and maintained appropriately.

Payroll Support

Assist with payroll preparation and review of employee time records.
Verify timekeeping information and identify discrepancies for HR or management review.
Assist with gathering documentation needed for payroll processing.
Maintain confidentiality of payroll and employee compensation information.

Compliance and Safety Support

Assist HR with maintaining required employment documentation.
Help ensure HR processes are consistently followed.
Assist with maintaining records related to workplace incidents and employee documentation.
Support HR with company policy communications and employee acknowledgments.
Escalate significant employee relations, safety, or compliance concerns to the HR Manager.

Communication and General Support

Serve as a professional point of contact for employees regarding routine HR questions.
Assist employees with understanding HR processes and direct complex questions to the HR Manager.
Communicate professionally with employees, managers, candidates, vendors, and outside organizations.
Assist with employee communications, meetings, and HR announcements.
Perform other HR-related duties and special projects as assigned.

Required Qualifications

High school diploma or equivalent required.
Previous HR, administrative, recruiting, payroll, or office experience preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive employee information.
Ability to work professionally with employees at all levels of the organization.
Proficiency with Microsoft Office, including Word, Excel, and Outlook.
Ability to prioritize multiple tasks in a fast-paced environment.
Strong problem-solving and interpersonal skills.
Lifting more than 50lbs

Preferred Qualifications

Previous experience in a manufacturing or industrial environment.
Knowledge of basic HR practices and employment documentation.
Bilingual English/Chinese or English/Spanish is a plus, depending on business needs.

Physical and Work Environment

This position may require working in both an office and manufacturing environment. The HR Assistant may occasionally need to walk through production, warehouse, or other operational areas to communicate with employees and management.

The employee must be able to perform the essential functions of the position with or without reasonable accommodation.
