Full Job Description

Job Overview

We are seeking a detail-oriented and highly organized Payroll Clerk to join our finance team. The Payroll Clerk is responsible for accurately processing employee payroll, maintaining payroll records, and ensuring compliance with company policies and applicable federal, state, and local regulations. This role supports employees with payroll-related inquiries and works closely with Human Resources Director, Accounting, and management to ensure timely and accurate payroll administration.

Responsibilities

Process payroll for hourly, salaried, and contract employees in accordance with established schedules.
Review and verify employee timecards, attendance records, and payroll data for accuracy.
Maintain payroll records, including employee earnings, deductions, taxes, and benefits.
Enter and update employee payroll information in payroll systems.
Calculate wages, overtime, bonuses, commissions, and other compensation adjustments.
Ensure compliance with payroll laws, tax regulations, and company policies.
Process payroll deductions including taxes, benefits, garnishments, and retirement contributions.
Prepare payroll reports for management, Finance, and regulatory agencies as required.
Assist with payroll audits and provide supporting documentation.
Respond to employee inquiries regarding pay, deductions, tax withholding, and payroll discrepancies.
Reconcile payroll-related accounts and assist with month-end and year-end processes.
Support the preparation and distribution of annual tax documents such as Form 1099.
Maintain confidentiality of payroll and employee information.

Required Qualifications

High school diploma or equivalent required; Associate degree in Accounting, Finance, Business Administration, or related field preferred but not required.
Minimum 3 years of recent or current payroll, accounting, bookkeeping, or related administrative experience.
Basic understanding of payroll practices, wage laws, and payroll tax regulations.
Proficiency in Microsoft Office, particularly Excel.
Experience with payroll software such as ADP, Paychex, HR&P Pro, or similar systems preferred.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Strong communication and customer service abilities.

Physical Requirements
