Job Summary

Engineering Firm Administrative & Proposal Support Specialist

Job Title: Administrative & Proposal Support Specialist
Location: Wormleysburg (Lemoyne PA) must be local to Central PA
Employment Type: Full-Time or Part-Time

About Us

We are a small structural engineering firm dedicated to providing high-quality engineering solutions and exceptional client service. We are seeking a reliable, organized, and detail-oriented professional to support our team with proposal preparation, engineering compliance checks (this would come with training. We understand most are not well versed in this aspect) client communications, and general administrative duties.

Position Summary

The Administrative & Proposal Support Specialist plays a key role in supporting the daily operations of our firm. This individual will assist with preparing proposals and qualifications packages, answering phones, coordinating office activities, and providing general administrative support to our engineering staff.

Responsibilities

Assist with preparation, formatting, editing, and submission of engineering proposals and qualifications packages.
Maintain proposal documents, resumes, project descriptions, and marketing materials.
Answer and direct incoming phone calls professionally and courteously.
Manage email correspondence and office communications.
Schedule meetings, appointments, and conference calls.
Prepare letters, reports, spreadsheets, and other business documents.
Maintain project and client files, both electronic and paper.
Assist with invoicing, data entry, and document management.
Support engineers with administrative and project-related tasks.
Help maintain office organization and ensure smooth day-to-day operations.

Qualifications

Previous administrative, office management, or proposal coordination experience preferred.
Strong written and verbal communication skills.
Excellent proofreading, editing, and document formatting abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and meet deadlines.
Professional telephone and customer service skills.
Experience in engineering, architecture, construction, or professional services environments is a plus.
