Full Job Description

Position Summary

The Quality and Customer Operations Specialist supports the company’s U.S. quality, customer-service, warehouse, and operational activities. The position is responsible for maintaining quality-system documentation relating to U.S. warehouse operations, coordinating customer quality requests and complaints, supporting vendor qualification, and assisting with inventory control.

The employee will work closely with the company’s U.S. management team and the Quality and manufacturing teams in India to ensure that customer requirements are addressed accurately and promptly and that applicable company quality procedures are followed.

Essential Duties and Responsibilities

Quality Systems and Warehouse Compliance

Support the implementation and maintenance of quality procedures applicable to U.S. warehouse and distribution operations.
Ensure that warehouse quality records are completed accurately, reviewed as required, and retained in accordance with company procedures.
Support product identification, lot traceability, storage, quarantine, release-status, and nonconforming-product controls.
Maintain training, inspection, service-provider, and other quality-related records in preparation for customer or internal audits.
Monitor compliance with established quality procedures and provide guidance to warehouse and operations personnel.
Support internal audits, corrective and preventive actions, and other quality-system improvement activities, as assigned.
Escalate quality-system deviations or product-quality concerns to the appropriate manager and Quality team.

Customer Quality Support

Receive, document, acknowledge, and track customer complaints.
Coordinate with the factory Quality team to support timely investigation and resolution of customer complaints.
Maintain complaint records and communicate investigation status to customers and internal stakeholders.
Coordinate customer requests for certificates, product documents, facility documents, questionnaires, and other quality-related information.
Support the review, coordination, execution, and maintenance of customer quality agreements, subject to approval by authorized company personnel.
Assist with product-return and nonconformance activities when required.

Vendor and Service-Provider Quality

Collect and maintain documents required for vendor and service-provider qualification.
Support the evaluation and periodic review of vendors and contracted service providers.
Maintain qualification records, agreements, and service records.
Document and coordinate vendor complaints or service-quality concerns with the appropriate internal teams.
Follow up on supplier corrective actions, where assigned.

Inventory and Operations Support

Support inventory counts, reconciliation, and record accuracy.
Monitor inventory by lot number and expiration date.
Support first-expire-first-out inventory practices and identify slow-moving, short-dated, or at-risk inventory.
Coordinate with warehouse, customer-service, and management personnel regarding inventory discrepancies.
Assist with other customer-service, quality, warehouse, and operational activities as reasonably assigned.

Minimum Qualifications

Associate degree or higher in quality, science, engineering, business, supply-chain management, or a related field.
At least [two] years of experience in quality assurance, quality control, regulated operations, warehousing, customer service, or a related function.
Working knowledge of quality systems and controlled documentation.
Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Strong written and verbal communication skills.
Ability to prepare professional emails and communicate clearly with customers, vendors, service providers, and internal teams.
Strong organizational skills and the ability to manage multiple priorities.
Ability to identify problems, follow established procedures, and escalate issues appropriately.
Ability to work independently while following direction from company management.

Preferred Qualifications

Experience in the pharmaceutical, biotechnology, medical-device, life-sciences, or other regulated industry.
Familiarity with ISO 9001 or similar quality-management standards.
Experience with customer complaints, document control, vendor qualification, audits, corrective actions, or warehouse quality systems.
Experience working with international manufacturing or Quality teams.
Previous experience guiding or training colleagues.
