Help Create a New Way Forward for Clients and the Team

We are looking for an experienced Operations Manager who can bring structure, follow-through, and thoughtful coordination to our day-to-day work. This is a meaningful opportunity for someone who enjoys creating order, improving systems, supporting people, and helping a client-focused team operate at its best. Base compensation depending on experience, as listed, with additional incentive and bonus opportunities.

The Operations Manager will serve as the Firm’s operational “eyes and ears” by helping workflows move smoothly, keeping support resources coordinated, maintaining visibility around deadlines, and ensuring the Firm’s high-touch, concierge-level client experience is delivered consistently.

This is a hands-on, in-person role for someone who is proactive, detail-oriented, service-minded, and energized by being part of a close-knit team that takes pride in doing excellent work. In this role, your work will directly impact how well the Firm serves clients, supports team members, and grows into its next stage.

What You’ll Do

In this role, you will help lead and coordinate several core areas of the firm:

Operations & Workflow: You’ll monitor day-to-day workflows, identify bottlenecks, improve processes, document procedures, and help ensure operational tasks, deadlines, and recurring service rhythms are completed with clarity and consistency.
Team Coordination: You’ll provide day-to-day direction, coaching, and accountability for assigned support staff, including client service, planning support, virtual assistant, intern, and other support resources as assigned.
Client Service Experience: You’ll help support the Firm’s concierge-level service model by ensuring client interactions, paperwork flow, follow-up, and service processes are responsive, accurate, warm, and well-coordinated. You may also serve as a backup client service ambassador during peak periods or absences.
Business Administration & Compliance: You’ll coordinate office operations, vendors, technology resources, marketing/service calendars, internal projects, broker-dealer/platform needs, audit preparation, compliance-related processes, and communication of relevant updates across the team.
HR, Benefits & Culture: You’ll assist with hiring coordination, onboarding, employee setup, benefits coordination, PTO tracking, routine employee questions, and reinforcing Hess Financial’s relationship-driven culture.

What We’re Looking For

The strong candidates will bring:

5–8 years of relevant experience in operations, office management, client service operations, business administration, financial services, banking, insurance, professional services, or a similar client-facing environment.
Experience coordinating or supervising administrative, client service, or support staff.
Strong organizational skills, attention to detail, time management, and follow-through.
Ability to manage multiple priorities in a fast-paced, relationship-focused professional environment.
Strong communication and interpersonal skills.
Ability to build trust with advisors, support staff, clients, vendors, and business partners.
Strong technology aptitude, including Microsoft Office, CRM systems, document management tools, and willingness to learn firm-specific platforms.
Interest in AI, automation, and emerging technologies, with good judgment in a compliance-sensitive environment.
Ability to independently research issues, evaluate options, and present clear recommendations.

Education & Preferred Experience

Bachelor’s degree required in business, finance, operations, management, communications, or a related field. Equivalent professional experience may be considered.
Prior experience in wealth management, financial planning, broker-dealer, RIA, banking, insurance, or professional services strongly preferred.
FINRA or insurance licenses preferred, but not required at hire.
