Historic West Bend Theatre Job Description

Job Title: Bookkeeper

Reports To: Chief Experience Officer

Employment Type: Part-Time (15 hours per week)

FLSA: Exempt

Original Date: 8/13/26

Mission:

Our nonprofit's mission is to connect people through entertainment, social, and educational experiences. Our vision is to be a world-class historic, yet modern, experience venue providing a vital creative space for and with our community.

Position Summary:

The Bend Theater is seeking a detail-oriented and organized Bookkeeper to manage the day-to-day financial operations of our nonprofit organization. This role works in tandem with the Board Treasurer to ensure accurate financial records, process transactions, support budgeting and reporting, and help maintain compliance with nonprofit accounting standards. This position plays a vital role in supporting the theater's mission by ensuring sound financial stewardship.

The Historic West Bend Theatre management has the discretion to hire personnel with a combination of experience and education which may vary from the below listed skills and qualifications.

Key ResponsibilitiesFinancial Management

Record and reconcile all financial transactions, including accounts payable, accounts receivable, and bank accounts.
Process invoices, payments, deposits, and credit card transactions.
Prepare and process payroll in coordination with payroll providers.
Maintain amortization schedule for prepaid expenses.
Perform monthly bank and credit card reconciliations.
Maintain prepaid expense schedule for monthly authorization expense.
Maintain fixed asset schedules for monthly depreciation expense.
SBA loan - record and reconcile P&I payments.
Input employee payroll additions / changes in Quickbooks.
Input artist / vendor 1099 tax information from W9 forms.

Nonprofit Accounting

Track and record restricted and unrestricted funds.
Assist with grant financial reporting and documentation.
Work with Board Treasurer and Chief Experience Officer to monitor donor contributions and ensure proper recording of charitable gifts.
Support compliance with nonprofit accounting principles and internal financial policies.

Financial Reporting

Prepare monthly financial statements, including:
Statement of Financial Position (Balance Sheet)
Statement of Activities (Profit & Loss)
Budget-to-Actual reports
Cash flow summaries
Process Sales and Use tax payment monthly.
Assist the Executive Director and Board Treasurer with budget preparation and financial planning.
Provide financial information for board meetings as requested.

Annual Audit & Tax Support

Prepare financial records and supporting documentation for annual audits or financial reviews.
Assist Board Treasurer with preparation of information required for IRS Form 990 and other regulatory filings.
Review and process year-end 1099 filing.
Maintain organized financial records in accordance with record retention policies.
Update unemployment rate in Quickbooks before the new year begins (watch for notice).
Calculate and record year-end (YE) Deferred Revenue and Wage & Tax Accruals (audit requirement).
Accrue payables at year end (late invoices).

Event & Program Support

Reconcile ticketing revenue and concession sales with point-of-sale and ticketing systems.
Track production and event expenses by program or project.
Assist with financial reporting related to fundraising events and special programs.

Administrative Duties

Maintain vendor files and payment schedules.
Monitor cash flow and alert leadership to potential issues.
Process payroll through Quickbooks after approval by Chief Experience Officer.
Recommend improvements to financial processes and internal controls.
Perform other related duties as assigned.

QualificationsRequired

Associate's degree in Accounting, Finance, or related field, or equivalent professional experience.
Minimum of 2 years of bookkeeping or accounting experience.
Experience with accounting software such as QuickBooks Online or similar platforms.
Strong proficiency with Microsoft Excel and Microsoft Office or Google Workspace.
Excellent organizational skills and attention to detail.
Ability to manage confidential financial information with discretion.
Strong written and verbal communication skills.

Preferred

Experience working with nonprofit organizations.
Familiarity with nonprofit fund accounting.
Experience supporting audits and Form 990 preparation.
Experience with ticketing, fundraising, or donor management systems.
Knowledge of payroll processing and Wisconsin employment regulations.
