Office Accounts & Administration Coordinator

Location: Woodstock, IL
Job Type: Full-Time (40 hours/week)
Pay: $26.00 per hour

About Us

Alubend Inc. is seeking a dependable, highly organized Office Accounts & Administration Coordinator to support our growing operations. This role is ideal for someone who enjoys keeping an office running efficiently, managing administrative processes, and providing accounting support in a collaborative manufacturing environment.

We’re looking for someone who is proactive, detail-oriented, and comfortable balancing a variety of responsibilities while maintaining a high level of professionalism.

Responsibilities

Process accounts payable and accounts receivable transactions
Prepare invoices, process payments, and maintain accurate financial records
Reconcile accounts and assist with bookkeeping activities
Maintain employee files and administrative records
Support payroll and employee administration as required
Coordinate office supplies, vendors, and general office operations
Assist with purchasing and order tracking
Prepare reports, spreadsheets, and business correspondence
Answer phones, respond to emails, and provide professional customer service
Support management with administrative projects and day-to-day operational tasks
Maintain organized digital and physical filing systems
Assist with other administrative and accounting duties as assigned

Qualifications

Previous experience in office administration, bookkeeping, accounting, or a similar administrative role
Strong organizational and time management skills
Excellent attention to detail and accuracy
Proficient in Microsoft Office (Excel, Outlook, Word)
Experience with accounting software is considered an asset
Strong written and verbal communication skills
Ability to manage multiple priorities independently
Professional, dependable, and team-oriented
