Job Overview
As a First Impressions Representative, you will be the welcoming face of our organization, creating a positive and professional atmosphere for all visitors and clients. Your role is crucial in managing front desk operations and ensuring seamless communication through multi-line phone systems. You will handle administrative tasks with precision while providing exceptional customer service that leaves a lasting impression.

What you’ll do

Greet and assist visitors, clients, and team members with a warm and friendly demeanor.
Manage incoming calls on multi-line phone systems, directing inquiries to the appropriate departments.
Support office management by coordinating schedules, managing multiple advisors' calendars, and ensuring smooth office operations.
Perform clerical duties including data entry, filing, and maintaining organized records.
Utilize Microsoft Office and Google Workspace to create documents, spreadsheets, and presentations as needed.
Provide customer support by addressing inquiries and resolving issues promptly.
Maintain confidentiality of sensitive information while proofreading documents for accuracy.

Experience

Proven experience in a front desk or receptionist role is preferred.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Excellent computer literacy with proficiency in Microsoft Office Suite and Google Workspace.
Familiarity with clerical duties such as data entry, calendar management, and filing is essential.
Demonstrated customer service skills with an emphasis on phone etiquette and interpersonal communication.
Personal assistant experience is beneficial for managing administrative responsibilities effectively.
