Job Summary
Position Summary: The Deposit Operations Specialist is primarily responsible for ensuring that the various duties associated with retail and deposit operations are performed completely, accurately, and in a timely manner. This role works closely with the Retail and Digital Deposit Operations Manager(s) performing a wide range of retail and deposit operations support duties. Retail support may include non-mortgage consumer lending products such as the credit builder loan and associated bundles. Because this position involves the review of account, customer, and employee records, confidentiality and discretion are critical to every task. The Deposit Operations Specialist will report to the Retail and Digital Deposit Operations Manager.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
● Adhere to all Bank policies and procedures.
● Maintain confidentiality and exercise discretion in handling account, customer, and employee records.
● Process garnishments, levies, subpoenas, and other legal process in coordination with the Legal Department, and perform related account maintenance including deposit holds.
● Perform and validate account maintenance duties including deposit rate changes, wiring of funds, interest adjustments, waiving of fees, and other maintenance.
● Review and validate procedures and processes used by Deposit Operations and the Branch to confirm adherence to Bank policy, and immediately report any errors, potential risks, or concerns, together with any recommended changes, to the Retail and Digital Deposit Operations Manager(s).
● Perform duties associated with CDARS and ICS as needed, including but not limited to loading new and renewed accounts, performing required transactions, interest transfers, and monthly reporting.
● Assist Branch, BSA, Accounting, Loan, and Call Center staff with operations-related challenges. Identify and report ongoing challenges, risks, or potential training opportunities to the Retail and Digital Deposit Operations Manager(s).
● Foster relationships across all Grand Bank departments.
● Execute and perform escheatment and dormant account verification as assigned.
● Review new accounts for checking, savings, certificates, and retirement plans to confirm that all coding and documentation is correct, including document images in the Bank's imaging system. Track and report exceptions.
● Complete return item management (RIM), automated clearing house (ACH), Regulation CC holds, remote deposit capture, and early closure or charge off activities daily.
● Identify, document, and escalate potential suspicious activity to the BSA Officer in accordance with the Bank's BSA/AML Policy.
● Review reports daily to monitor customer activity, transactions, and customer maintenance records. Report operational inconsistencies and trends to the Retail and Digital Deposit Operations Manager and escalate potential suspicious activity to the BSA Officer.
● Identify and report resource constraints and process gaps, with recommended solutions for overall improvement and stability.
● Identify trends or potential issues relating to teller losses, check fraud, fee waivers, and other assigned key areas, and elevate areas of concern along with proposed solutions or ideas for improvement.
● Support consumer loan products related to the Digital and Branch platforms, including adjusting holds, closing accounts, and account maintenance.
● Comply with the Bank's BSA/AML Policy, the privacy and safeguarding requirements of the Gramm-Leach-Bliley Act, and all applicable state and federal banking regulations.
● Complete assigned training related to applicable products, services, and banking regulations in a timely manner.
● Perform other related duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
● High school diploma or equivalent is required.
● Three (3) or more years of banking experience, ideally in branch banking, digital banking, and deposit operations roles.
● Advanced knowledge of branch banking and deposit operations procedures.
● Trustworthiness and the ability to act with integrity.
● Effective time management, prioritization, and organizational skills.
● Ability to task switch, meaning shifting focus from one task to another and back to the original task, which is critical to this position.
● Strong problem solving skills.
● Excellent verbal communication skills.
● Proficiency in Microsoft Office products.
● Thorough understanding of and commitment to quality customer service.
● Always present a professional image and positive attitude.
Preferred Qualifications
● College degree from an accredited institution.
● One to two (1-2) years of core system experience.
● One to two (1-2) years of digital bank support.
● One (1) year of Fiserv EFT experience, or a comparable system.
● Experience with Web Capture SCO, Reclamations, IntraFi, Client 360, Bond Redemptions, and Card Management, or comparable systems.
