Full Job Description

Position Summary:

The Grants Coordinator is responsible for all facets of government and foundation support for the Maui Arts & Cultural Center, including identification, cultivation, solicitation, management, and stewardship of grants. This position supports the activities of MACC’s core programs by leading grant applications and proposals, tracking budgets, reporting to funders, ensuring compliance, and maintaining strong institutional relationships. The Grants Coordinator plays a vital role in sustaining and advancing the Center’s mission.

Essential Duties & Responsibilities:

Solicitation and Grant Writing (55%)

Lead development, writing, and submission of grant applications and solicitation letters tailored to each funder.
Meet all deadlines for applications, supporting materials, and required attachments.
Ensure compliance with specific grant guidelines and formatting.
Coordinate with the President/CEO and program directors to collect and prepare required data, program narratives, and budgets.
Prepare letters of intent and other related grant correspondence.

Reporting and Stewardship (30%)

Draft acknowledgment letters on behalf of MACC leadership for all government, corporate, and foundation gifts.
Prepare and submit interim and final reports for awarded grants in a timely and accurate manner.
Respond to revision requests, including revised budgets or project scopes, in consultation with program staff.
Maintain ongoing communication with funders, as needed.

Prospect Identification and Cultivation (10%)

Research and identify new grant opportunities from government agencies and foundations.
Recommend prospective funders aligned with MACC’s goals and programs.
Serve as the ongoing liaison between MACC and funders to build and sustain institutional relationships.
Provide regular updates to the President/CEO on grant activity and prospect status.

Administration and Database Management (5%)

Maintain organized hard copy and digital records of all grant activity, including proposals, reports, and correspondence.
Maintain and update the grants calendar and sponsorship matrices to ensure timely submissions and acknowledgments.
Use MACC’s Tessitura database for funder gift entry, data tracking, and extraction.
Work with the Program Assistant To maintain consistent and accurate data across Tessitura and Access databases.
Assist with annual grant projections aligned with fiscal year budgets and organizational needs.

Additional Responsibilities:

Collaborate with MACC program directors and the President/CEO to track grant budgets, income, and expenditures.
Ensure grant-funded obligations are met according to agreement terms.
Coordinate with the marketing team to ensure appropriate recognition of funders per grant requirements.
Support program managers in implementing organization-wide data systems, including analysis, outcome measurement, and budget tracking.
Other duties as assigned in support of the President/CEO.

Qualifications:

Bachelor’s degree.
Minimum 3–5 years of experience in nonprofit grant writing and management, including foundation and government sources preferred.
Demonstrated success securing and managing significant grant funding.
Proficient in grant compliance, budgeting, and reporting.
Skilled in CRM/database systems; Tessitura experience strongly preferred.
Excellent written, verbal, and interpersonal communication skills.
Strong organizational, analytical, and project management abilities.
Self-starter with the ability to work independently and as part of a team.

As a condition of employment, the employee will be required to sign a non-disclosure agreement limiting the use of proprietary donor and organizational data. This agreement remains in effect during and after employment.

Base Pay: $50,000.00 - $55,000.00 per year
