Job Summary

We are seeking a dynamic and highly organized Office Assistant / Secretary to join our team! This vital role is designed for someone who thrives in a fast-paced environment, excels at multitasking, and possesses exceptional communication skills. As the backbone of our administrative operations, you will provide comprehensive support to ensure the smooth functioning of daily office activities. Your energetic approach and attention to detail will help foster an efficient, welcoming workplace where client and team needs are met with professionalism and enthusiasm. Responsibilities

Manage front desk operations, including handling inquiries, and directing calls with excellent phone etiquette.
Operate multi-line phone systems efficiently to connect calls and relay messages promptly.
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software to maintain organized records.
Handle bookkeeping responsibilities, including invoicing, expense tracking, and financial record keeping.
Support calendar management and scheduling for executives or team members, coordinating meetings and appointments seamlessly.
Maintain filing systems—both digital and physical—to ensure quick retrieval of documents while handling confidential information with discretion.
Provide exceptional customer service by assisting clients, responding to inquiries, and supporting overall client communication efforts.
Assist with office management duties such as supply inventory, organizing documents, proofreading correspondence, and supporting personal assistant tasks when needed.

Experience

Prior office experience or clerical experience demonstrating proficiency in administrative tasks and customer support.
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with data entry processes.
Experience using QuickBooks for bookkeeping or financial management is highly desirable.
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment.
Bilingual abilities are a plus to support diverse client interactions and team communication.
Proven ability to handle confidential information responsibly while maintaining professionalism at all times.
Demonstrated time management skills with the capacity to juggle multiple responsibilities effectively.
