Job Overview

We are seeking a dynamic and highly organized Office Assistant to join our team! This vital role involves supporting daily office operations, ensuring smooth communication, and maintaining an efficient work environment. As an Office Assistant, you will be the first point of contact for visitors and clients, manage administrative tasks with precision, and contribute to the overall productivity of our office.

Responsibilities

Greet visitors and clients warmly, providing exceptional front desk support and managing phone communication using multi-line phone systems.
Handle data entry tasks accurately using spreadsheets, word processing, and productivity software like Microsoft Office.
Manage calendar scheduling, appointment setting, and calendar management to ensure efficient time utilization.
Maintain organized filing systems—both digital and physical—and ensure all documents are properly stored and easily accessible.
Support office management activities by coordinating supplies, managing inventory, and overseeing general administrative duties.
Assist with client communication by responding promptly to inquiries and providing excellent customer support.
Perform clerical tasks such as proofreading documents, preparing reports, and ensuring all correspondence adheres to professional standards.

Requirements

Proven experience in office management or administrative support roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, QuickBoks) and familiarity with productivity software. Skills in Accounts Receivable, Accounts Payable, Payroll, State, Federal and Payroll taxes. Strong number skills, including calculator proficiency and a clear understanding of debits and credits.
Excellent computer literacy including data entry, spreadsheet management, and document formatting.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Exceptional phone etiquette skills with experience handling multi-line phone systems and client communication.
Previous experience with QuickBooks or similar accounting software is needed.
Demonstrated ability to prioritize tasks with effective time management skills.
