Senior Bookkeeper – Multi-Entity Hospitality Operations
We are seeking an experienced Senior Bookkeeper to manage the day-to-day bookkeeping and monthly financial close for three related operating businesses: Oakley Greens, Covington Yard, and NKY Fieldhouse.
These businesses operate in the restaurant, bar, event, entertainment, and sports-facility industries. The position requires someone who understands the accounting complexities of high-volume hospitality operations, including point-of-sale activity, merchant processor deposits, cash receipts, vendor invoices, event deposits, gift cards, payroll entries, inventory and cost of goods sold.
This is not an entry-level bookkeeping or data-entry position. The successful candidate must be able to independently maintain accurate books, identify discrepancies, improve accounting procedures, and deliver timely financial reporting across multiple legal entities.
The position will begin as a part-time role averaging approximately 25 hours per week, with some fluctuation based on month-end, year-end, and operational needs. As the businesses and portfolio grow, the role may develop into a full-time accounting or finance position.
Primary Responsibilities
- Maintain complete and accurate QuickBooks Online records for Oakley Greens, Covington Yard, and NKY Fieldhouse.
- Maintain each company as a separate legal and accounting entity, including proper treatment of intercompany transactions.
- Reconcile all operating, payroll, savings, and other bank accounts each month.
- Reconcile all company credit card accounts and ensure charges have appropriate documentation, account coding, and entity allocation.
- Reconcile daily and weekly point-of-sale sales activity to bank deposits and merchant processor reports.
- Identify and resolve differences involving credit card deposits, processing fees, refunds, chargebacks, cash receipts, cash overages or shortages, gift cards, and other sales adjustments.
- Record and reconcile restaurant, bar, event, rental, membership, league, and other operating revenue.
- Properly account for event deposits, customer prepayments, gift cards, deferred revenue, and earned revenue.
- Manage accounts payable, including entering vendor invoices, verifying approvals, scheduling payments, avoiding duplicate payments, and maintaining vendor records.
- Collect and maintain vendor W-9 forms and assist with annual 1099 preparation and filing.
- Record payroll entries and reconcile payroll reports, payroll withdrawals, taxes, benefits, and other payroll liabilities to the general ledger.
- Coordinate with operations managers to ensure sales, inventory, payroll, and expense information is complete and accurate.
- Monitor cost-of-goods-sold accounts and assist with reconciliation of food, beverage, merchandise, and other inventory activity.
- Maintain consistent charts of accounts, classes, locations, departments, and accounting procedures across the businesses where appropriate.
- Complete monthly account reconciliations and month-end closing procedures on a timely basis.
- Prepare monthly profit-and-loss statements, balance sheets, cash summaries, accounts-payable reports, and other management reports.
- Provide consolidated or comparative reporting across the three businesses while preserving accurate entity-level records.
- Assist ownership and management with budget-to-actual reporting, cash-flow tracking, expense analysis, and identification of unusual financial activity.
- Coordinate with the outside CPA, payroll provider, tax preparers, insurance providers, and other professional advisors.
- Support sales-tax, use-tax, local tax, annual tax, audit, and financial-document requests.
- Help clean up historical bookkeeping issues and establish practical, repeatable accounting controls and procedures.
- Maintain organized digital records for invoices, receipts, bank statements, merchant statements, payroll reports, contracts, and other financial documentation.
- Protect confidential employee, vendor, customer, and company financial information.
Required Qualifications
- At least five years of professional bookkeeping or accounting experience.
- Expert-level, hands-on proficiency with QuickBooks Online.
- Direct bookkeeping or accounting experience in restaurants, bars, hospitality, entertainment venues, event businesses, sports facilities, or another high-volume operating environment.
- Experience maintaining the books for multiple companies or legal entities simultaneously.
- Demonstrated ability to complete bank, credit card, merchant processor, payroll, and balance-sheet reconciliations.
- Strong understanding of accrual accounting, account classification, month-end closing, prepaid expenses, accrued expenses, deferred revenue, and intercompany transactions.
- Experience reconciling point-of-sale sales reports to merchant processor settlements and bank deposits.
- Proficiency with Microsoft Excel or Google Sheets, including the ability to organize, analyze, and reconcile large amounts of financial data.
- Ability to identify accounting discrepancies, investigate their cause, and resolve them without constant supervision.
- Strong organization, accuracy, follow-through, professional judgment, and discretion.
- Ability to communicate clearly with ownership, operations managers, vendors, payroll providers, and outside accountants.
- Ability to work regularly in person at locations in Oakley, Covington, and Wilder.
Preferred Qualifications
- Experience with restaurant point-of-sale platforms, merchant processing systems, payroll platforms, inventory systems, reservation systems, event-management platforms, or sports-facility management software.
- Experience building standardized accounting procedures across multiple related businesses.
- Experience preparing weekly cash reports, monthly reporting packages, budgets, and budget-to-actual analyses.
- Experience working directly with business owners or senior operating leadership.
- Associate's or bachelor's degree in accounting, finance, business, or a related field is preferred but not required.
- QuickBooks Online ProAdvisor certification is preferred but not required if the candidate can demonstrate expert-level experience.
What Success Looks Like
Within the first 90 days, the successful candidate should be able to:
- Understand the operating and financial workflows of all three businesses.
- Bring all bank, credit card, merchant processor, payroll, and major balance-sheet reconciliations current.
- Establish a consistent monthly closing checklist and reporting calendar.
- Deliver accurate monthly financial statements and management reports.
- Identify unresolved bookkeeping issues and recommend practical corrections.
- Improve the organization, consistency, and reliability of the companies' financial records.
Position Details
- Part-time, approximately 20–30 hours per week.
- Expected average schedule of approximately 25 hours per week.
- Hybrid position with regular in-person work required in Greater Cincinnati and Northern Kentucky.
- Compensation of $37.00–$46.00 per hour, based on experience.
- At the expected average schedule, anticipated annual compensation is approximately $48,000–$60,000, with a midpoint of approximately $54,000.
- Potential to grow into a full-time accounting or finance role as the portfolio expands.
