Full Job Description

POSITION PURPOSE

The Director of Revenue Cycle & Patient Access is responsible for the overall leadership, performance, and accountability of the practice’s Revenue Cycle, Patient Access, and Scheduling departments.

This position directly oversees the Financial Services Manager, Patient Access Manager, and Scheduling Manager and ensures each department meets established financial, operational, productivity, and service expectations.

The Director is responsible for developing departmental leaders, monitoring performance, identifying barriers and trends, improving workflows, and ensuring managers have the direction and accountability necessary to successfully lead their teams.

PRIMARY RESPONSIBILITIES

Revenue Cycle

Provides overall leadership and direction for billing, accounts receivable, claims management, denials, payment posting, patient collections, and payer reimbursement.
Directly supervises the Financial Services Manager and holds the department accountable for established performance expectations.
Monitors key revenue cycle indicators, including cash collections, days in AR, AR aging, denial trends, claim accuracy, payment posting timeliness, and patient balance collections.
Reviews performance trends and works with the Financial Services Manager to develop corrective action plans when goals are not being met.
Identifies reimbursement, payer, coding, documentation, and workflow concerns that may negatively impact collections.
Partners with clinical and operational leadership to address revenue cycle issues and improve financial performance.
Provides regular revenue cycle reporting and analysis to the Practice Administrator.

Patient Access

Directly supervises the Patient Access Manager and provides overall leadership for Patient Access operations.
Ensures effective processes are maintained for patient registration, insurance verification, eligibility, referrals, authorizations, patient demographics, financial responsibility communication, and upfront collections.
Monitors Patient Access accuracy, productivity, service levels, and call center performance.
Identifies opportunities to improve patient experience, operational efficiency, and revenue capture.
Supports the Patient Access Manager with significant operational concerns and escalations requiring Director-level involvement.

Scheduling

Directly supervises the Scheduling Manager and provides overall leadership for centralized Scheduling operations.
Ensures appropriate staffing, workflows, training, quality assurance, and performance standards are maintained.
Monitors scheduling performance, including appointment availability, provider schedule utilization, call volume, call abandonment, scheduling accuracy, cancellations, no-shows, and productivity.
Collaborates with clinical and administrative leadership to improve patient access and provider schedule utilization.
Supports the Scheduling Manager with significant operational issues and escalations requiring Director-level involvement.

LEADERSHIP & DEPARTMENT OVERSIGHT

Directly manages the Financial Services Manager, Patient Access Manager, and Scheduling Manager.
Establishes clear goals, performance expectations, and accountability for each department.
Conducts regular meetings with direct reports to review departmental performance, priorities, barriers, and improvement plans.
Coaches managers in leadership, communication, problem solving, employee development, and performance management.
Reviews departmental staffing, productivity, and labor utilization and makes recommendations when adjustments are needed.
Supports managers with complex employee relations matters in coordination with Human Resources.
Participates in the recruitment, selection, onboarding, and performance evaluation of departmental managers.
Develops strong departmental leadership and promotes appropriate delegation and escalation through the established management structure.
Promotes a culture of accountability, professionalism, collaboration, service, and continuous improvement.

PROCESS IMPROVEMENT & REPORTING

Evaluates departmental workflows and identifies opportunities to improve efficiency, accuracy, patient experience, and financial performance.
Leads process improvement initiatives involving Revenue Cycle, Patient Access, and Scheduling.
Ensures departmental policies, workflows, and performance standards are current and consistently followed.
Uses operational and financial data to identify trends, risks, and opportunities.
Provides timely and meaningful reporting to the Practice Administrator and recommends corrective action when needed.
Partners with Clinical Operations, Human Resources, Compliance, Information Technology, providers, and other departments to resolve cross-functional issues.
Supports implementation and optimization of practice management, billing, scheduling, and patient communication systems.

PERFORMANCE EXPECTATIONS

Success in this role will be evaluated based on overall departmental performance, leadership effectiveness, operational improvement, and achievement of established financial and service goals.

QUALIFICATIONS

Required

Minimum of five years of progressive healthcare revenue cycle, medical billing, patient financial services, or related healthcare operations experience.
Demonstrated experience managing revenue cycle performance, accounts receivable, denials, collections, or related financial operations.
Demonstrated experience leading managers, supervisors, or multi-layered teams.
Strong understanding of healthcare reimbursement, insurance, patient collections, eligibility, authorizations, and payer requirements.
Strong analytical, financial, leadership, and problem-solving skills.
Ability to interpret operational and financial data and translate findings into corrective action.
Strong written and verbal communication skills.
Ability to manage multiple departments and priorities in a fast-paced healthcare environment.
Proficiency with Microsoft Office and applicable EHR, practice management, billing, scheduling, and reporting systems.

Preferred

Bachelor’s degree in Healthcare Administration, Business Administration, Finance, Accounting, or related field; equivalent relevant experience may be considered.
Experience within a multi-provider or multi-location physician practice.
Experience overseeing centralized scheduling and/or Patient Access operations.
Experience managing multiple healthcare operational departments.
Dermatology or specialty physician practice experience.

WORK ENVIRONMENT

Work is primarily performed in a professional office environment. The position may require travel between practice locations and occasional work outside of normal business hours based on operational needs.
