This Isn’t Just a Front Desk Job. It’s a Critical Role in Patient Care, Practice Flow, and Helping People Feel Seen and Supported.

Whether a patient is calling with a question, arriving for their first appointment, or scheduling the next step in their recovery, you are the person who helps them feel welcomed, informed, and cared for.

At Ervin Physical Therapy, that person could be you.

We are looking for a full-time Client Care Coordinator who brings warmth, organization, and professionalism to every interaction.

Someone who does not simply check patients in, but helps create a smooth and positive experience from the moment they enter the clinic.

Someone who can confidently manage schedules, collect payments, communicate important information, and help patients stay committed to completing their care.

This role is about more than completing front desk tasks. It is about becoming a trusted part of a team that helps people overcome pain, restore movement, and return to the lives they enjoy.

You will be the front door and the final impression of our clinic.

From welcoming patients and confirming their information to collecting payments and scheduling future visits, your work directly affects the patient experience and the flow of the entire practice.

You will help patients understand what comes next, keep their appointments organized, and make it easier for them to complete their recommended plan of care.

What You’ll DoPatient Experience and Check-In

Greet every patient warmly and professionally.
Complete patient check-in accurately and efficiently.
Confirm patient paperwork, demographic details, and insurance information.
Help create a welcoming, organized, and patient-ready front desk environment.
Respond to patient questions with clarity, patience, and professionalism.

Scheduling and Patient Communication

Schedule future appointments according to each patient’s plan of care.
Help patients remain scheduled ahead when appropriate.
Assist with appointment reminders, cancellations, and rescheduling.
Identify patients who may be at risk of falling off the schedule.
Communicate scheduling concerns and patient needs to the Office Manager and clinical team.
Help maintain an efficient clinic schedule throughout the day.

Collections and Financial Coordination

Collect copays, balances, deductibles, coinsurance, and other patient portions due.
Clearly and professionally communicate patient financial responsibilities.
Complete check-out and payment processes accurately.
Support the clinic’s collection and front office performance goals.

Front Office Operations

Maintain accurate patient information within the clinic’s systems.
Keep the front desk clean, organized, and prepared for patients.
Complete assigned front office scorecard responsibilities.
Participate in team huddles, training, and performance conversations.
Follow all HIPAA, privacy, and confidentiality requirements.
Help identify recurring patient questions or front office processes that need improvement.

Previous healthcare or front office experience is helpful, but it is not required. We are open to candidates who demonstrate strong communication, customer service, organization, professionalism, and the ability to learn quickly.
