We deliver reliable, state-of-the-art services to single-family, multi-family, commercial, rehabilitation and hospitality projects. We are seeking a highly motivated Office Manager in Las Vegas! As part of our team, you'll enjoy a comprehensive benefits package including: Employee Stock Ownership Plan (ESOP), 401k, Medical, Dental and Vision Insurance.

General Responsibility:

The Office Manager is responsible for performing administrative branch support and for assisting Human Resources/Payroll, Accounting, and Operations.

Significant Duties:

· Accounts Receivable daily input of invoices posted through Supply Pro each morning for purchase orders/vouchers to bill

o Check Supply Pro daily for payments releasing electronically sign conditionals

· Accounts Receivables maintain billing sheets for Superintendents twice monthly for review and billing per builder deadline

· Maintain AIA billing completed per builder deadline

· Maintain Aging along with cash projection reports

· Check bonding report weekly to verify billing retention and no open balances to reconcile.

· Input change orders into Sage provided by Superintendents FWOs and track to receive PO from builder to pay

· Apply payments via wire or apply payments by check and upload to Bank remotely.

· Review and Compile Monthly Closed Job Reports – update sales reports and issue profit reports to distribute to C-Suite

· Update and maintain per fixture report

· Maintain Credit card receipts code and upload to bank weekly

· Issue Weekly employee reimbursement checks

· Schedule service for office equipment and order supplies as needed – copiers, fax and postage machine

· Maintain Alarm codes and key assignments to building

· Maintain and order all office supplies, kitchen and bathroom

· Open and distribute incoming daily mail

· Staff meeting – take minutes type up notes and distribute to attendees weekly

· Back up customer service daily and cover if Lynne is out

· Track business license renewals and pay to keep in good standing

· Maintain and balance petty cash and submit petty cash receipts for payment and reconciliation

· Work with Riverside Accounts Payable Department review approve invoices through paperless as well as input cost coding for temp service invoices

· Cost to Complete Meetings by-weekly run all reports and update budget balance during meeting, present to C-suite Monthly.

· Maintain and post all back charges from builders as well as journal entry if needed

· Responsible for maintaining insurance certificates for all new jobs as required by Builder and yearly renewals filed

· Set up job starts make folders, cost 10’s, budgets, piece rate sheets and set up in Sage

· Pre-Lien notices certified – through Level Set

· Collection / Liens

· Provide food and drinks for company meetings as well as other supplies as needed.

· Other duties or projects assigned.

Skills and Qualifications:

· Two (2) to three (3)s of experience in managing an office setting manager

· High School Diploma, GED, or equivalent

· A Nevada Drivers' License, with a clean DMV record

· Strong and solid typing skills, and a proficiency Microsoft Office and Excel Software programs

· Ability to make decisions based on limited information and time, able to draw the inferences from the information to support the decision

· Excellent communication and mathematical skills required

· Must have the ability to work in a fast-paced environment, and endure the pressure of meeting production needs

Physical Requirements: Requires prolonged periods of sitting and/or standing and occasional stooping, bending, and overhead reaching, Occasional lifting, pulling, caring, or pushing objects or materials, up to 10lbs. Must be able to climb stairs and use a small step ladder
