Position Summary
The Pharmacist-in-Charge (PIC) / Pharmacy Operations Manager is the designated Managing Pharmacist and senior on-site leader accountable for professional pharmacy practice, regulatory compliance, medication safety, quality, and daily operations. The role directs pharmacy and support staff and oversees prescription intake, sterile and non-sterile compounding, pharmacist verification, fulfillment, dispensing, shipping, staffing, workflow, productivity, inventory, controlled substances, systems, facilities, and continuous improvement. The incumbent partners with executive and cross-functional leaders to maintain a safe, inspection-ready, efficient, and patient-centered 503A operation. Delegation does not transfer PIC accountability.
Essential Duties and Responsibilities
PIC, Regulatory, Clinical, and Compounding Oversight
· Serve as the designated PIC/Managing Pharmacist; maintain all required pharmacist licenses, registrations, permits, Board approvals, postings, records, logs, policies, and inspection-readiness requirements.
· Ensure compliance with applicable state and federal laws, Board of Pharmacy rules, DEA requirements, HIPAA, OSHA, payer and accreditation standards, and company policies; ensure personnel work within authorized scope and under appropriate pharmacist supervision.
· Oversee prescription legal and clinical review, sterile and non-sterile compounding, production coordination, final verification, labeling, packaging, counseling, and documentation.
· Evaluate therapy appropriateness, allergies, interactions, contraindications, duplication, dosing, and controlled substance legitimacy; ensure errors, near misses, adverse events, complaints, and escalations are investigated, documented, and addressed through corrective action.
· Serve as the primary pharmacy contact for inspections, regulatory inquiries, payer audits, accreditation reviews, and internal reviews; complete required notifications and reports, including medication incidents and controlled substance theft or loss.
Pharmacy Operations and Performance
· Direct end-to-end operations from intake, data entry, and claim support through compounding, verification, packaging, fulfillment, shipping or delivery, returns, and exception resolution.
· Translate prescription demand, backlog, and service commitments into staffing, production, and priority plans; monitor volume, throughput, queue aging, turnaround time, accuracy, productivity, coverage, labor utilization, overtime, service levels, waste, and controllable expense, and rebalance resources as needed.
· Lead operating huddles, workload reviews, shift handoffs, and escalation processes; resolve staffing shortages, bottlenecks, supply constraints, equipment issues, system downtime, and service failures.
· Prepare KPI dashboards and leadership reports and recommend staffing, equipment, technology, vendor, or process changes based on data, capacity, risk, cost, and business need.
· Lead implementation of new services, systems, payer requirements, workflow or facility changes, and improvement projects; maintain continuity during volume spikes, absences, failures, emergencies, and other disruptions.
People Leadership and Workforce Management
· Directly supervise pharmacists, pharmacy technicians, interns, shift leads, fulfillment associates, data entry staff, and other assigned support personnel; develop schedules and staffing plans that support workload, coverage, service, training, and contingency needs.
· Lead or participate in recruiting, interviewing, onboarding, training, cross-training, competency assessment, performance evaluation, recognition, development planning, corrective action, and hiring, promotion, or separation recommendations.
· Set and enforce expectations for patient safety, accuracy, productivity, attendance, professionalism, confidentiality, compliance, teamwork, customer service, and accountability; provide timely coaching and promote an ethical, inclusive, improvement-focused culture.
Quality, Inventory, Systems, Safety, and Continuity
· Maintain quality assurance processes, SOPs, job aids, training and quality records, operational reports, audit documentation, and retention controls; analyze metrics, incidents, complaints, findings, and trends, identify root causes, and implement and track corrective and preventive actions.
· Oversee ordering, receiving, storage, security, cycle counts, reconciliation, shortages, recalls, expirations, reverse distribution, and disposal; manage product integrity, cold chain, lot and expiration controls, inventory accuracy, waste, and vendor performance.
· Ensure controlled substances are received, stored, inventoried, dispensed, reconciled, transferred, returned, destroyed, and reported in accordance with DEA, state, and company requirements; maintain records and investigate discrepancies.
· Oversee pharmacy systems, user access, records, data integrity, privacy, information security, equipment, work areas, facilities, maintenance, and implementation of technology or automation.
· Enforce sanitation, PPE, hazardous material handling, equipment use, medication and facility security, incident reporting, and emergency procedures; communicate risks and resource needs promptly and support disaster preparedness and business continuity.
Required Qualifications
· Doctor of Pharmacy (PharmD) or Bachelor of Science in Pharmacy from an ACPE-accredited college or school of pharmacy.
· Current, unrestricted Nevada pharmacist license in good standing at the time of hire and eligibility to serve as the Board-approved PIC/Managing Pharmacist. Must be able to obtain and maintain all additional pharmacist licenses, registrations, permits, and Board approvals required by the company within six months; existing active licenses in additional states are strongly preferred and considered a plus.
· Prior hands-on sterile and non-sterile compounding experience in a regulated 503A compounding pharmacy environment, including formal aseptic training and demonstrated competency in aseptic technique, cleanroom practices, and applicable compounding standards.
· Minimum five years of pharmacist experience in a licensed pharmacy environment, including at least two years in PIC, pharmacy management, operations management, supervision, or comparable leadership.
· Strong knowledge of pharmacy laws and operations, DEA controlled substance requirements, HIPAA, medication safety, quality assurance, patient privacy, and audit readiness.
· Demonstrated experience managing staff, schedules, workflow, productivity, service levels, inventory, operational metrics, performance, and problem-solving in a regulated environment; ability to exercise independent clinical and operational judgment and hold teams accountable.
· Strong communication, documentation, analytical, organizational, financial-awareness, and leadership skills; proficiency with pharmacy management, e-prescribing, claims, inventory, reporting, Microsoft Office, and related systems; availability for urgent operational, audit, staffing, or regulatory needs.
Preferred Qualifications
· Prior service in a combined PIC and Pharmacy Operations Manager role, or as a Managing Pharmacist, Pharmacy Manager, or Director of Pharmacy; experience leading high-volume compounding, mail-order, specialty, central-fill, closed-door, or comparable operations.
· Experience with inspections, DEA or payer audits, accreditation, multi-state or nonresident licensing, shipping or remote service models, controlled substance or medication safety programs, labor and budget management, vendors, facilities, systems, operational projects, Lean, Six Sigma, or project management; bilingual skills are a plus.
Physical Requirements and Working Conditions
Ability to stand, walk, sit, bend, reach, perform repetitive tasks, use pharmacy and office equipment for extended periods, accurately read prescriptions and records, and lift, carry, push, or pull up to 50 pounds. Work is performed in licensed pharmacy, compounding, fulfillment, clinical, office, or warehouse-style areas and may involve medications, controlled substances, automated equipment, temperature-controlled areas, confidential information, and time-sensitive demands. The employee must follow all safety, PPE, security, confidentiality, and pharmacy requirements and may need to respond outside normal business hours.
