Full Job Description

Restore Life Behavioral Health is currently seeking a Front Office Specialist to join their counseling and mental health practice in Hendersonville, TN.

The successful candidate will be warm, calm, highly organized, and self-directed. After orientation, the Front Office Specialist will work with helping staff and clients with administrative duties but mainly in an independent capacity. As such, the successful applicant must excel at time management, problem-solving, and organization.

The ideal candidate will start work full-time (40 hours/week). Due to the high level of on-the-job training required for this position, and the importance of developing relationships with clinicians and clients, the successful candidate must be willing to commit to staying and growing with the practice for at least several years.

Clinical documentation, scheduling, and billing are completed electronically. It is therefore important that candidates for this position are proficient in basic internet research, scanning, faxing, and troubleshooting on a Mac and PC.

Job Responsibilities:

The Front Office Specialist is responsible for moving the patients through the intake and checkout process. Front Office Specialist must ensure that all procedures, from pulling the correct patient files to charting insurance information, are closely followed so that the therapists may concentrate on the well-being of the patients. Front Office Specialist must process the client’s information and insurance claims in a timely fashion.

Specific Job Duties:

Provide excellent customer service to our patients, visitors, and clinician staff.
Answer incoming calls, schedule appointments, and referrals on a daily basis.
Prepare new records, files, and maintain records.
Conduct Patient registration which includes verifying benefits, obtaining referrals, and authorizations.
Perform other tasks as assigned to help the office run efficiently
Print, scan, fax, and file documents on a daily basis
Check Clients In/Out
Prepare billing packets of each day for the billing department
Take clear and concise phone messages and return phone messages within 24 hours. Collect co-pays, deductibles and inquire on previous balances
Prepare charts for the next day
Create new patient packets and charts
Keep front area neat and tidy always
Copy medical information as requested following proper procedures
Distribute mail and handle routine correspondence
Distribute incoming reports and correspondence and files in patient charts or presents to professional staff. Update spreadsheets daily
Cross-train to perform back office duties or new administrators when needed.

Qualifications:

An associate's or Bachelor's Degree preferred
Experience in medical billing and coding preferred
Compassionate to people coping with mental health issues, required
Dependable and self-motivated, required
Detail-oriented and organized, required
Ethical and compliant with HIPAA laws (required, training provided)
Flexible and able to adapt to change, required
Able to work well independently and collaboratively, required
Comfortable with technology, required
Reliable transportation, required
Able to commit to long-term employment and employee contract, required
Excellent customer service, the front office specialist will be the first contact for new clients and needs to provide a warm, calm, and welcoming introduction
