Full Job Description

The Billing & Collections Specialist is responsible for managing billing and collections processes in alignment with the Firm’s established procedures and client-specific guidelines. This role focuses on delivering exceptional customer service to the Firm’s attorneys and clients, ensuring accuracy and efficiency in all related activities.

A minimum of 3-4 years of law firm billing experience is required for this position. In addition to proficiency with legal billing software such as Clio, Aderant, or Elite, the ideal candidate will have experience utilizing a variety of legal e-billing platforms and processing appeals.

Our preference is to have the role based in our Los Angeles office, with a hybrid remote arrangement available after the initial on-site training period. We will also consider remote candidates for this position. The compensation for this role will be determined based on the candidate's skills and experience, within the provided pay range.

Job Responsibilities:

Adhere to the Law Firm’s billing and collections policies.
Maintain accurate records of client billing guidelines, agreements, and collections activity.
Prepare and process monthly invoices, ensuring compliance with Firm policies and client-specific guidelines.
Review and verify the accuracy of bills and required supporting documentation, including expense reports.
Submit finalized invoices to the appropriate recipients via mail, email, or e-billing systems.
Monitor invoice status and track the approval process as needed.
Manage bill-related appeals while maintaining compliance with Firm policies.
Process write-offs in accordance with established procedures.
Provide prompt and effective customer service to internal and external clients, resolving billing or payment inquiries professionally.
Identify and collect past-due balances through professional communication, including making collection calls while maintaining positive client relationships.
Manage client accounts, including tracking payment schedules and status updates.
Maintain detailed records of collection efforts and status, organized by attorney.
Assist in preparing and reporting against client budgets.
Complete ad hoc billing requests as directed by attorneys.
Support special projects and ad hoc requests from attorneys and the Accounting team.
Collaborate effectively with the Accounting team to ensure alignment and efficiency.

Requirements:

Proficiency in Microsoft Word, Outlook, Excel, Adobe Acrobat, as well as legal billing software
Excellent written and verbal communication skills
Exceptional administrative and organizational skills with ability to manage a high volume of work in a fast-paced environment
Outstanding attention to detail
Strong ability to prioritize tasks and organize yourself to be able to concurrently manage several tasks
Able to work both independently and as part of a team; self-motivated; flexible and adaptable
Professional and courteous manner
