Inside Sales Coordinator – Petroleum Equipment

The Role
We are looking for an experienced Inside Sales Coordinator to support our sales team from our Herndon, VA office. This is a technical support role as much as a sales role — you will develop deep knowledge of our product line, learn to read project specifications, identify what a project requires, build accurate quotes, and assemble complete submittal packages for engineer and government review.
The right candidate is self-directed, technically curious, and wants to build genuine expertise in a specialized industry.
Responsibilities
- Prepare quotations and proposals for fuel storage and transfer system projects — selecting correct equipment, configurations, and pricing from our product catalog
- Provide technical support for the design of petroleum equipment fueling systems to the sales team and to engineers and contractors
- Coordinate pricing, product suitability, and production schedules with manufacturers
- Review project specifications and drawings to identify scope and equipment requirements
- Prepare and coordinate submittal packages — collect vendor product data, cut sheets, compliance documentation, and shop drawings and assemble complete packages for engineer and government review.
- Track submittal approvals and follow up on outstanding items across multiple active projects
- Respond to customer, contractor, and engineer inquiries — pricing, lead times, product information, and order status
- Maintain CRM records and project documentation
- Support change order documentation as project scope evolves
Qualifications
- 2–4 years of inside sales, sales support, estimating, or project coordination experience
- Background in petroleum equipment, HVAC, or construction strongly preferred — you do not need to be an engineer, but technical curiosity is not optional
- Experience coordinating submittals, RFIs, or technical documentation
- Comfortable reading project specifications and technical documents
- Self-directed and organized — you will manage multiple active opportunities simultaneously with limited supervision
- Strong written and verbal communication — you will interact with engineers, contractors, and government personnel
- Experience with CRM or ERP software; GoldMine, QuoteWerks, or Sage 100 a plus
- Proficient with Microsoft 365
- AutoCAD or technical drawing familiarity a plus
- Based in or able to commute to Herndon, VA — this is a full-time in-office role
