TOWN MANAGER - The PMO Project Coordinator supports the daily operations of the Town of Herndon's enterprise Project Management Office (PMO) while serving as a primary coordination resource for departmental project managers across assigned departments. The position operates with delegated operational authority from the CPMO to advance project accountability, ensure standards compliance, and reduce operational bottlenecks, while maintaining clear escalation lanes for governance, strategic and senior leadership matters.
Duties and Responsibilities:
1. Supports in the day-to-day administration of the PMO, including maintaining the enterprise project portfolio dashboard, updating project status records and ensuring accuracy of milestone, schedule, and budget tracking data across all named projects.
2. Serves as the primary administrative coordinator for the Capital and Project Oversight Committee; prepares meeting agendas, records minutes, tracks action items and ensures timely follow-up on committee decisions and directives.
3. Monitors project schedules, deliverables, and reporting deadlines across assigned departments; identifies variances, schedule slippage, and scope issues and escalates to the CPMO for review and action in accordance with defined thresholds.
4. Maintains organized PMO document repositories, project files, templates, and records in accordance with Town standards, the Project Management Manual and applicable records management procedures and applicable laws and regulations.
5. Serves as the PMO’s primary day-to-day point of contact for the Department Project Managers on routine project tracking, milestone accountability and status reporting.
6. Owns the day-to-day entry and record maintenance for the enterprise project portfolio dashboard and PMO tracking system.
7. Assists with budget tracking, purchase orders, vendor invoices and financial documentation related to PMO-managed and oversight-designated projects.
8. Assists in developing and maintaining project management templates, tools, and standard operating procedures in alignment with the town's adopted project management framework and methodology.
9. Coordinates project intake logistics, including collection and organization of intake submissions, scheduling of intake review meetings and preparation of supporting documentation for CPMO evaluation.
10. Supports change management efforts and continuous process improvement initiatives.
Ensures compliance with Town policies, procedures and applicable laws and regulations.
11. Performs other duties as required.
Requirements:
- Bachelor’s degree in business administration, public administration, project management, or a related field, preferred
- Two (2) or more years of experience in project coordination, project management or related work
- Certified Associate Project Management (CAPM) or equivalent required at time of hiring, or within 12 months
- Experience with data management a plus
- Experience in a municipal or government setting is a plus
- Valid driver’s license with acceptable driving record
