Overview
We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this role, you will manage front desk operations with energy and professionalism, ensuring a positive experience for visitors, clients, and team members alike. Your enthusiasm and organizational skills will help create a smooth and efficient environment, supporting office management and delivering exceptional customer service. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace.

Responsibilities

Greet visitors and clients warmly, providing excellent customer support and assistance
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
Handle incoming correspondence, emails, and inquiries with promptness and clarity
Maintain organized filing systems, data entry records, and ensure accurate document proofreading
Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
Perform clerical duties including filing, photocopying, and updating records using Microsoft Office and Google Workspace tools
Assist with bookkeeping responsibilities utilizing QuickBooks or similar accounting software when needed

Requirements

Proven office experience with strong organizational skills and attention to detail
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Prior clerical or administrative experience demonstrating effective time management and multitasking abilities
Bilingual skills are highly desirable to serve diverse client needs effectively
Strong phone etiquette with experience managing multi-line phone systems in a professional setting
Familiarity with office management tasks such as calendar management, data entry, filing, proofreading, and customer support
Experience as a dental or medical receptionist or personal assistant is a plus but not required
Ability to handle confidential information discreetly while maintaining a positive attitude
