Full Job Description

Job Overview
The Office Assistant will be responsible for supporting daily administrative functions, providing backup to the sales team in the preparation of documentation and estimates, managing vendor communications, and maintaining office and operational supplies. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.

Compensation: $20.00 – $22.00 per hour, based on experience.

Key Responsibilities

Administrative and Office Support:

Maintain overall office organization and daily operations.
Answer and direct phone calls, emails, and general inquiries in a professional manner.
Manage filing systems (physical and digital) to ensure accurate record keeping.
Order and manage office and shop supplies to ensure uninterrupted operations.
Coordinate internal communications and provide administrative assistance to management as needed.

Accounting and Documentation:

Generate packing slips and invoices using QuickBooks.
Assist with basic data entry and record maintenance.
Ensure accuracy of documentation related to sales orders and vendor invoices.
Maintain organized records of transactions and project documentation.

Sales Support:

Assist sales representatives in preparing customer estimates and proposals.
Develop and maintain knowledge of company products, services, and pricing structures.
Provide administrative support to ensure timely processing of sales orders.
Help coordinate documentation related to customer projects.

Vendor and Project Coordination:

Manage and maintain vendor account relationships.
Communicate with vendors regarding job status, production timelines, and installation schedules.
Track order progress and follow up to ensure deadlines are met.
Report project updates and progress to management and team members.

Qualifications (Required)

Minimum of 2 years of experience working in an office environment (required).
Bilingual – fluent in both English and Spanish (preferred).
Strong organizational and time management skills.
Excellent verbal and written communication skills in both languages.
High level of attention to detail and accuracy.
Ability to multitask and prioritize workload effectively.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with QuickBooks (preferred).
Ability to work independently as well as collaboratively in a team environment.
Professional demeanor and a positive, proactive attitude.

Pay: $20.00 - $22.00 per hour
