Full Job Description

Job Overview

The Events Assistant Manager supports the planning, coordination, and execution of the Miami-Dade Bar's educational programs, networking events, signature events, committee meetings, judicial functions, and sponsorship activities. Working closely with the Executive Director and our Events Manager, this position ensures that all events are professionally organized, financially responsible, and provide an exceptional experience for members, sponsors, speakers, judges, and guests.

Duties

Assist in planning, organizing, and executing all Association events, including Continuing Legal Education (CLE) seminars, networking receptions, committee meetings, judicial events, annual meetings, awards programs, and fundraising events.
Coordinate all event logistics, including venue selection, catering, audiovisual services, décor, rentals, transportation, and vendor management.
Develop and maintain detailed event timelines, production schedules, and task lists to ensure deadlines are met.
Manage attendee registration, seating arrangements, nametags, event materials, and check-in procedures.
Coordinate with speakers, moderators, judges, sponsors, exhibitors, and volunteers to ensure successful event execution.
Assist in preparing event budgets, processing invoices, monitoring expenses, and reconciling event costs.
Work closely with the Finance Department to ensure timely billing, sponsorship invoicing, and vendor payments.
Coordinate sponsorship benefits, including signage, recognition, marketing materials, exhibitor tables, and sponsor communications.
Collaborate with the communications team to promote events through email campaigns, the Association's website, social media, and printed materials.
Prepare event materials, including agendas, programs, signage, presentation slides, certificates, and attendee packets.
Serve as the an on-site coordinator during events, supervising vendors, volunteers, and event staff while resolving issues as they arise.
Conduct post-event evaluations, compile attendance data, analyze feedback, and recommend improvements for future programs.
Maintain accurate records of contracts, vendor agreements, event files, attendance reports, and sponsorship documentation.
Maintain inventory of event supplies and coordinate purchasing of materials as needed.
Provide administrative support for Association committees and sections as related to meetings and special events.
Represent the Miami-Dade Bar professionally while fostering positive relationships with members, judges, attorneys, sponsors, vendors, and community partners.
Perform other duties as assigned.

Experience

Bachelor's degree in Event Management, Hospitality, Business Administration, Communications, Marketing, or a related field preferred.
Three or more years of progressively responsible experience in event planning, hospitality, nonprofit associations, or professional organizations.
Experience coordinating conferences, educational programs, networking events, or fundraising events preferred.
Strong organizational and project management skills with the ability to manage multiple events simultaneously.
Excellent written, verbal, and interpersonal communication skills.
Strong customer service orientation and professional demeanor.
Proficiency in Microsoft Office Suite and experience with event registration, CRM, or association management software preferred.
Ability to work independently while collaborating effectively with staff, volunteers, and leadership.
