Full Job Description

Premium Healthcare is seeking an experienced, motivated, and highly organized Office Manager to oversee the daily operations of a busy Family Medicine and Pediatrics medical center. The ideal candidate is a strong leader with exceptional knowledge of pediatric workflows, vaccine management, and front and back office operations.

Responsibilities

Oversee the daily operations of the medical center, ensuring efficiency and exceptional patient service.
Supervise and support front desk staff, medical assistants, nurses, and administrative personnel.
Maintain provider schedules and optimize patient flow.
Ensure compliance with HIPAA, OSHA, CLIA, AHCA, CDC, and company policies.
Monitor patient satisfaction and resolve concerns promptly.
Train, coach, and evaluate staff performance.
Manage staffing schedules, payroll approvals, attendance, and productivity.
Oversee inventory, medical supplies, vaccines, and pharmaceutical storage.
Coordinate facility maintenance and vendor relationships.
Work closely with providers and upper administration to achieve operational and financial goals.

Pediatric Vaccine Experience Required

Qualified candidates must have hands-on experience with:

Childhood immunization schedules
Florida SHOTS (State Health Online Tracking System)
VaxCare vaccine management platform
Vaccines for Children (VFC) Program
Vaccine ordering, receiving, storage, and inventory management
CDC vaccine guidelines and documentation
Vaccine administration workflows and compliance
Temperature monitoring and vaccine quality assurance
Insurance verification and vaccine billing processes

Qualifications

Minimum of 3–5 years of medical office management experience
Experience managing a Family Medicine and/or Pediatrics practice required
Strong knowledge of pediatric clinical operations
Experience with Florida SHOTS, VaxCare, and pediatric vaccine programs required
Experience with EMR systems (AdvancedMD experience preferred)
Strong leadership and team-building skills
Excellent communication and conflict-resolution abilities
Ability to thrive in a fast-paced, high-volume environment
Bilingual (English/Spanish) preferred
